The Role
Reporting directly to the CEO, The Volunteer and Operations Support Manager plays a critical role in supporting the organisation’s mission and will play an integral role in the culture and organisational strength of Treasure Boxes. This position is ideal for a detail oriented and focused individual responsible for the wellbeing, safety and care of our large data base of volunteers. The Volunteer and Operations Support Manager will be responsible for recruiting, inducting and training new volunteers, along with keeping up to date information and compliance records.
The role also leads the planning and execution of special projects and initiatives that enhance community engagement, service delivery, and organizational growth.
This position is ideal for a strategic, hands-on individual with a passion for people leadership and systems improvement.
Key Responsibilities:
Volunteer Engagement & Management
- Design and execute strategies for volunteer recruitment, onboarding, training, and retention.
- Develop and maintain volunteer job descriptions, schedules, and rosters.
- Serve as the main point of contact for volunteers, providing ongoing support and supervision.
- Foster a positive and inclusive volunteer culture aligned with organizational values.
- Track volunteer hours and impact metrics; report regularly to leadership and funders.
- Plan and coordinate volunteer appreciation events and recognition initiatives.
Operations Support
- Collaborate with staff and volunteers to ensure programs and services are well-resourced and logistically supported.
- Assist to maintain supplies, technology, and facilities in collaboration with vendors and staff.
- Assist in the development and implementation of internal systems and procedures for greater efficiency.
- Contribute to risk management and compliance by maintaining relevant documentation (e.g., volunteer agreements, policies, working with children/vulnerable people checks).
Internal Communications & Coordination
- Act as a liaison between volunteers and program staff to ensure alignment on schedules, roles, and expectations.
- Maintain and update internal platforms and calendars to reflect operational and volunteer activities.
- Support meeting preparation, minute-taking, and internal communication flows as needed
About You
Essential Selection Criteria:
Minimum 3 years’ experience in a people leadership an operations management role
Previous experience leading and developing a volunteer team
Experience in recruitment, selection, and performance management
Knowledge of HR & WHS laws, regulations, and compliance standards
Exceptional interpersonal and advanced communication skills
Ability to support and contribute to the organisation's strategic vision
Experience in overseeing day-to-day facilities operations
Capability to prepare comprehensive reports and respond to inquiries
Desirable:
A bachelor's degree in Nonprofit Management, Business Administration, or a related field
Previous experience working with volunteer management systems (Better Impact preferred)
Knowledge of non-profit organisation, practices and charitable giving
Experience in a multicultural or diverse organisational environment
Change management skills for navigating organisational changes
