Our dedicated teams consist of Clinical Psychologists and Clinical Psychology Registrars who are devoted to assisting clients in managing their mental health struggles and regaining control of their lives.
About the Role:
As a casual Administration Assistant, you will contribute to the smooth running of our clinic, with a key focus on reception duties. You will work in a fast-paced and client focused environment requiring strong time management and multitasking skills. As part of the administrative team, you will work under the guidance of the administrative supervisor while liaising with clinical team members to provide excellent service to our clients and support our clinicians in delivering quality care.

Duties will include:
Front Desk Support: As part of your front desk responsibilities, you will warmly greet and assist clients while managing phone calls and emails with professionalism and efficiency. You will play a key role in coordinating appointment scheduling, actioning new referrals and enquiries, and processing Mental Health Care Plans. Additionally, you will work alongside the administrative supervisor to help ensure clinician schedules remain full and provide support with other administrative tasks as needed to maintain the smooth operation of the clinic
Record Keeping: You will be responsible for maintaining accurate and confidential client records, ensuring all documentation complies with relevant policies, procedures, and client privacy regulations
Billing and Payments: You will process client payments and Medicare claims, send invoices to NDIS plan managers, and assist with any client billing enquiries to ensure smooth and accurate financial transactions within the clinic
Assisting Clinicians: You will provide administrative support to Psychologists by preparing documents, entering data, and completing other tasks as required to assist clinicians in their daily work
About you:
You will have at least one year of experience in a customer-facing administrative role, which is essential for this position. Your ability to prioritise tasks and stay organised in a fast-paced environment will be highly valued, as will your strong communication skills, both written and verbal. You possess a high level of interpersonal skills and demonstrate excellent attention to detail in your work. A professional and personable telephone manner is important, along with the ability to work independently as well as part of a team. You take pride in being organised and efficient, whilst maintaining a strong ethical compass and respect for confidentiality at all times. Experience working in a psychology clinic would be highly regarded, however is not necessary for this entry level role.
Qualifications:
Current first aid and CPR certificate or willingness to acquire
Mental health first aid or willingness to acquire
