About This Opportunity

Join the Faculty of Science as an Executive Assistant supporting the Office of the Director at Gatton Campus. You'll play a vital role in ensuring seamless communication and coordination across the Faculty, diverse internal teams, and valued external partners-including farm service clients, local government, and the Department of Primary Industries.

Based at Gatton campus with occasional travel to our St Lucia campus and other sites for training and project support.

Key responsibilities will include:

  • Manage the Director's schedule and communications, including diary management, coordinating meetings and events, handling correspondence and enquiries with discretion, and preparing relevant meeting materials to ensure smooth daily operations.
  • Provide comprehensive administrative support for committees, projects, and key events, including agenda and minute preparation, liaising with university executives, staff, external stakeholders, and assisting with travel arrangements and event logistics.
  • Maintain office systems and resources, such as updating contact lists, managing SharePoint and MS Teams pages, overseeing office supplies, and proactively managing enquiries to protect the Director's focus.
  • Oversee financial administration related to the Director's office, including processing reimbursements, managing expenses and financial delegations, credit card reconciliations, and providing backup support for the Faculty Executive Support Team as needed.

About You

We are seeking a proactive, resilient, and solutions-focused professional with a proven track record in providing high-level executive support within complex environments. You will demonstrate strong alignment with UQ's values-openness, respect, and integrity-and excel in embracing challenges with initiative and a positive mindset.

Key qualifications and skills include:

  • Completion of an advanced diploma with at least one year relevant experience, or a diploma with two years' experience, or equivalent combination of education and experience.
  • Exceptional organisational skills to manage shifting priorities, maximise efficiency, and maintain accuracy under pressure.
  • Experience in diary and email management, event coordination, and implementing innovative administrative systems, including early adoption of AI and collaborative platforms like MS Teams.
  • Outstanding written, oral, and interpersonal communication skills, with the ability to liaise tactfully and diplomatically across all levels of an organisation.
  • Advanced stakeholder engagement capabilities and strict confidentiality adherence.
  • Prior experience in higher education or a similar large organisation is desirable.

The successful candidate may be required to complete background checks including, Right to work in Australia, criminal history and education checks.
