Medical Receptionist (12-Month Contract, Part-Time)
Epping Specialist Group is a modern medical specialist centre located in Epping, Victoria. Established in January 2023, our clinic features four fully equipped consultation rooms with state-of-the-art IT systems. We currently have twelve specialists working with us from a variety of specialty areas including rheumatology, neurology, nephrology, haematology, endocrinology, geriatric medicine and infectious diseases. The clinic is dedicated to servicing the needs of patients of the northern suburbs of Melbourne.
We are seeking a highly motivated and enthusiastic individual to join our friendly administration team on a 12-month fixed-term contract (maternity leave cover), with the possibility of a permanent position as the clinic continues to grow.
This is a part-time role (3 days per week), with specific days to be finalised during the interview process.
This position will suit someone who is energetic, warm, and adaptable, with a strong sense of initiative and excellent multitasking skills. We are looking for a team player who is eager to contribute to a growing practice and deliver an exceptional experience for our patients and clinicians.
Key Responsibilities
Welcome patients to the clinic in a friendly and professional manner.
Manage appointment bookings, phone enquiries, and general patient communication.
Process and scan referrals, results, and other documents; manage emails and correspondence.
Liaise with external healthcare providers (GPs, specialists, hospitals, pathology, and radiology services).
Process patient accounts, handle EFTPOS and cash payments, and complete end-of-day reconciliations.
Provide general administrative support to the principal doctors as required.
Communicate messages accurately to medical staff via phone, email, or in person.
Maintain stock and order stationery and office supplies.
Assist in keeping the clinic clean, tidy, and accessible at all times.
About You
Excellent communication, customer service, and interpersonal skills.
Strong attention to detail and ability to manage multiple tasks efficiently.
Previous experience in a medical specialist or general practice setting is highly desirable.
Experience with Xestro software is an advantage (training can be provided).
Basic to intermediate proficiency in Microsoft Office (Word and Excel).
Positive attitude, reliability, and a genuine desire to contribute to a caring and professional team environment.
