About Us:
We are a multi-site (East Melbourne, Parkville, Glen Iris & Bayside) specialist practice working in Obstetrics and Gynaecology. We are committed to providing expert medical care while ensuring an exceptional experience for every patient.
We are currently seeking an experienced Clinical Assistant / Medical Receptionist to join our team 3–4 days per week. This role is crucial in ensuring seamless practice operations and outstanding patient care.
Key Responsibilities:
Office & Administrative Duties:
Schedule, confirm, and reschedule patient appointments.
Process and send patient reports, letters, and required information.
Prepare accounts, collect, and receipt payments.
Ensure completion of patient consent forms.
Perform general administrative tasks, including filing, faxing, emailing reports, and photocopying.
Maintain office equipment and order medical/office supplies.
Maintain accurate computer records and data entry.
Adhere to workplace disinfection and hygiene protocols.
Liaise with referring doctors and their teams.
Answer and manage phone calls professionally.
Clinical Duties:
Prepare patients for ultrasound procedures.
Assist doctors during examinations and procedures.
Ensure proper labelling and dispatch of specimens to laboratories.
Provide support for patient's post-procedure, particularly those receiving unexpected results.
Maintain clean and tidy change rooms and examination areas.
Follow all policies and procedures to ensure the safety of patients, doctors, and staff.
Assist with in-room procedures as required.
About You:
We are looking for someone who is warm, professional, and highly organized. The ideal candidate will have:
Medical receptionist experience (essential).
A background in nursing, midwifery (highly desirable but not essential).
Strong attention to detail and data entry accuracy.
A compassionate, patient-centered approach.
Excellent communication skills and the ability to multitask.
A collaborative and supportive team mindset.
A proactive attitude and willingness to learn new skills.
The ability to build rapport with patients quickly.
A minimum of 3+ years of medical receptionist experience.
Experience in obstetrics/gynaecology or ultrasound practices is preferred.
Australian work rights are essential for this position.
