Oakdene House Foundation is a Fairfield-based community organisation supporting individuals and families affected by addiction, homelessness, and hardship. We provide counselling, recovery programs, practical supports, and community connection through our centre-based services, kitchen, laundry, and boutique.

We're looking for a warm, organised, and community-minded Front Desk & Administration Support Officer to be the first friendly face clients see upon arrival at Oakdene House.

This part-time role (Monday to Friday, 10.00 am – 2.30 pm) will suit someone who enjoys variety — from greeting visitors and coordinating appointments to helping the team keep things running smoothly behind the scenes.

You'll provide reception, administration, and general office support, ensuring the centre operates efficiently and clients feel supported from the moment they walk through our doors.

Key Responsibilities

Front Desk & Client Interaction

· Greet all clients and visitors with warmth, curiosity, and professionalism.

· Answer incoming calls and emails courteously and promptly.

· Provide accurate information about services, programs, and referral pathways.

· Conduct client assessments (in-person or by phone) and document outcomes accurately.

· Maintain confidentiality of all client information, following consent and privacy procedures.

Administrative Support

· Oversee day-to-day office operations, including filing, scheduling, and records management.

· Maintain and update client files (paper and digital).

· Keep the Life Choice Program graduate list current and accurate.

· Support client appointment and assessment bookings.

· Prepare correspondence, reports, and other documents as requested.

· Manage office supplies and stationery, ensuring regular stock checks.

· Record and reconcile accounts receivable and petty cash transactions, with appropriate approvals.

General Office Duties

· Maintain cleanliness and order in reception and waiting areas.

· Manage incoming and outgoing mail.

· Set up tea and coffee for clients and staff in the outdoor area.

· Support the planning and delivery of community events and activities.

· Report maintenance or safety issues promptly to Centre Management.

· Foster a positive and collaborative workplace culture.

(Highly Desirable) Communicate effectively in additional languages such as Arabic, Vietnamese, or others, and assist with interpretation where appropriate.

Key Selection Criteria

Essential

· Experience in a front desk, reception, or administrative support role.

· Strong communication and interpersonal skills, with a respectful and empathetic approach.

· Competent in Microsoft Office and comfortable with client databases.

· High level of organisation and attention to detail.

· Ability to maintain confidentiality and professional boundaries.

· Experience engaging with clients experiencing distress, hardship, or complex needs.

Desirable

· Previous experience in a community, health, or social services setting.

· Fluency in a second language (e.g., Arabic, Vietnamese, or another community language).

· Awareness of trauma-informed and culturally safe practice principles.

Minimum Requirements

A minimum of 2 years of reception or front desk experience is required.

Essential computer skills include proficiency in database systems.

A valid Working with Vulnerable People check is required before commencement.
