We’re a fully paperless clinic and we’re seeking a warm, organized and enthusiastic Medical Receptionist who loves using technology to keep patients, doctors, and referrers in sync. As the face of our clinic, you’ll anchor an exceptional customer-service experience that underpins outstanding nephrology care.
About the role
Employment type: Part-time to full-time, 4–5 days/week (flexible)
Location: Box Hill, VIC (close to public transport; parking provided if needed)
Start: ASAP (flexible for the right candidate)
Pay: $30–$40 per hour + super, commensurate with experience and the relevant Award
What you’ll do
Welcome patients, manage check-ins/check-outs, and provide clear pre- and post-appointment information. Patients feel looked after at every step, from enquiry to post-visit follow-up.
Coordinate appointments, recalls, and admissions; basic triage within scope
Manage high-volume phones and end-to-end correspondence via email, including eReferrals and clinical documents
Process Medicare / ECLIPSE / DVA / TAC / WorkSafe claims; take payments; reconcile end-of-day banking
Keep patient demographics and documents accurate in the EMR; uphold privacy and confidentiality
Prepare clinic sessions, scan and index results, support doctors with day-to-day admin
General reception tasks: mail, stock control, forms and repeats tracking
The front desk hums with teamwork, respect and practical support.
You’ll bring
Strong IT proficiency (we are a paperless practice): confident with e-fax, scanners, printers, PDFs, and file management
Prior medical reception experience (specialist rooms or GP)
Confident use of Xestro and Zedmed (EMR) and Google softwares (Gmail, Google Docs, Google Tasks, etc)
Working knowledge of Medicare item numbers, informed financial consent, and billing best practice
Excellent phone manner, empathy, clear written communication, and attention to detail
Calm under time pressure; reliable follow-through and teamwork
Ability to multi-task and manage competing prioritis
Nice to have (not essential)
Experience coordinating and managing waitlists
Understanding of referral validity, diagnostic bookings, and clinical correspondence workflows.
Compliance
National Police Check (or willing to obtain)
Up-to-date immunisations per healthcare policy (including COVID-19)
