Position Overview
We are seeking a highly organised and proactive Office Manager to oversee the smooth running of our office operations. This role requires leadership, problem-solving, and strong administrative skills to support our growing renewable energy business. As Office Manager, you will supervise administrative staff, manage HR functions, implement effective office systems, and ensure compliance with corporate, regulatory, and environmental standards. You will also play a key role in supporting our projects and management team.
Key Responsibilities
Oversee and coordinate daily office operations to ensure efficiency and compliance.
Supervise, mentor, and delegate tasks to administrative staff while monitoring performance.
Develop and implement office policies, systems, and procedures for improved productivity.
Manage HR functions including onboarding, training, employee records, and performance reviews.
Support recruitment, contract preparation, employee relations, and staff development.
Manage office budgeting, expenses, petty cash, and coordinate with finance for reconciliations.
Use CRM/ERP systems (like ServiceM8, Simpro, or Zoho) to prepare quotes, handle purchase orders, manage stock, and close job records. Check supplier invoices against purchase orders and site reports.
Maintain accurate digital and physical filing systems for HR, compliance, contracts, and records.
Ensure compliance with WHS, privacy, governance, sustainability, and renewable energy regulations, maintaining accurate compliance records and reporting.
Oversee CEC accreditation records, installer licensing, and compliance registers for solar and battery projects; coordinate evidence packs for audits and rebate programs.
Own office scheduling for installation & service teams (NSW/WA/SA/ACT), including job packs, SWMS/inductions, fleet/asset bookings, and subcontractor onboarding with insurances and WHS documents on file.
Organize and coordinate meetings, training sessions, workshops, and corporate events.
Prepare regular reports on administration, HR, compliance, and resource utilization.
Provide executive support to the Director and senior leadership, including agendas and follow-up actions.
Liaise with service providers, contractors, regulators, and renewable energy compliance bodies.
Support renewable energy project administration, including documentation, reporting, procurement, and contract management.
Qualifications & Experience
Bachelor’s degree in Business Administration, Law, Management, or a related discipline.
Minimum 1–2 years’ experience in office management or administration within construction, renewable energy, or field-service environments (longer experience highly regarded).
Strong knowledge of HR processes, office procedures, compliance, and record- keeping.
Excellent communication, leadership, and organizational skills.
Proven ability to coordinate office systems, procedures, and staff to ensure efficient operations
