At Richard Ellis Design, we create high-end marble and stone fireplace surrounds.
We're a small, family-owned business regarded as one of Australia's leading suppliers of natural stone mantels, with our fireplaces in some of the country's most beautiful homes— as featured in Vogue Living, Architectural Digest, The Local Project, Belle Magazine & more.
From our Melbourne studio, we work with architects, interior designers, builders, and homeowners, primarily in the private residential sector, as well as a small number of retail/commercial and boutique multi-res projects.
We're a tight-knit, design-led team that values craftsmanship, attention to detail, communication and customer service — and we're looking for someone who shares that spirit.
Experience in construction, design, or luxury goods industries is preferred but not essential for this role.
About the Role
We're looking for an organised, proactive, and detail-minded all-rounder to help our growing creative business run smoothly.
This is a varied, hands-on role where you'll work directly with the business owner and our small team across operations, logistics, admin and client support. You'll help keep projects moving, systems organised, and information accurate — freeing us to focus on design, clients and growth. Curiosity, initiative and problem-solving are key.
What You'll Do
Operations & Workflow
Keep our systems, processes and Dropbox folders organised and consistent
Help document and improve how we quote, order, and track jobs
Liaise with freight forwarding partners and trades to manage shipping and logistics for local and interstate orders
Inventory & Data Management
Update product, pricing and stock data on relevant software
Liaise with the warehouse manager to track inventory levels and flag items for reordering
Produce simple stock and sales reports
Client Communication & Project Support
Send updates to clients about order status, timelines and delivery
Follow up on quotes, deposits and installation details
Keep CRM records and reminders up to date
Systems & Process Improvement
Assist with implementing and refining CRM and workflow automations
Research and test tools that improve efficiency
General
Ordering office supplies and equipment as required
Organise and tag image libraries and client project photos
General administrative support and as required
Assist the Director with research tasks
Maintaining inventory in our sample library, ordering, and sending samples to clients
What we're looking for
Organised, proactive and detail-oriented — you love a well-structured system
Comfortable with spreadsheets, data and problem-solving
Strong communicator — clear, friendly and confident with clients and suppliers
Experience in a product-based or design-focused business is ideal
A positive, can-do attitude, sense of humour, and genuine curiosity about how things work
Someone who enjoys creating structure and improving processes
Skills & Experience
This position requires a minimum of 5+ years of administrative or office coordination experience.
Australian citizenship or permanent residency is required for this position.
Experience using G Suite (Gmail, Google Sheets, Docs) and Dropbox
Experience with CRM and/or project management systems — essential
Experience with stock or inventory control software — preferred
Bonus points for proficiency in Xero, Canva, Adobe Creative Suite, or CAD programs
Training & Support
You'll learn by doing, with plenty of guidance along the way.
