We’re looking for a Coordinator, Finance & Operations to bring strong financial and accounting skills — and a willingness to pitch in across our small, high-performing team.
THE ORGANISATION
Community foundations in Australia have entered a period of sustained growth – in reach, scope and depth – and represent one of the most important system-change opportunities in the community context. This is especially relevant among communities experiencing economic disruption and persistent disadvantage given that, by and large, Australia has seen a decline in community-led governance of local capital for community-determined purposes.
Our shared project at Community Foundations Australia (CFAustralia) aims to fundamentally address this situation through ongoing reform and policy change, community processes and citizen participation, and development of foundations and fund structures within enabling networks and ecosystems at the community level. If we are successful as a field catalyst, Australia will see the emergence of a network of durable community foundations and associated community funds with a growing commitment to community wellbeing, fairness and equity.

THE ROLE
The Coordinator, Finance & Operations reports to and supports the Director, Finance & Operations and is responsible for assisting in the efficient and effective administration of CFAustralia’s financial system, programs and processes.
TASKS & RESPONSIBILITIES
The key accountabilities of the Coordinator, Finance & Operations are:
1. Financial Management & Reporting
Perform end-to-end processing of financial transactions, including accounts payable, accounts receivable, payroll, and general ledger management
Maintain fixed asset register
Prepare accurate and timely monthly, quarterly, and annual financial statements in compliance with Australian Accounting Standards (AAS) and relevant regulations
Assist in the preparation of financial reports for the FROG (Finance, Risk, Operations and Governance) Committee and Board of Directors
Issue membership invoices for new memberships and renewals
2. Compliance and Risk Management
Prepare and lodge financial reports to the ATO including monthly IAS and Quarterly BAS
Maintain the Compliance Register to reflect the organisations status with respect to taxation and superannuation compliance
Assist in the preparation for and coordination of the annual external audit
Assist in the development and monitoring of internal controls to safeguard the organisation’s assets and ensure financial integrity
3. Budgeting and Cash Flow Management
Assist senior leadership in preparing budgets and quarterly budget forecasts
Assist in recording the approved budgets and budget forecasts in Xero
Work with the Director, Finance & Operations to track and review budget performance and assist in developing cost control measures
Assist in developing and managing cash flow projections to ensure the organisation’s financial stability and to maximise investment returns from cash holdings
Monitor the organisations cash term deposits and assist in preparing recommendations for re-investment
4. Grant and Funding Management
Assist in financial management implementation suitable to support the organisation’s pooled fund approach and value initiatives
Assist in the preparation of financial reports required for acquittal purposes
Support the delivery of resource transfers to members and reporting on outcomes
Maintain schedule of funding arrangements including grant obligations, reporting dates and requirements
5. Operations
Support the Director Finance & Operations in designing policies and systems including employee-related systems, and software tools (e.g. Monday.com)
Assist in Melbourne office management
Assist in operations tasks as needed – for example, in organisation of events and team offsites
Assist in travel and venue bookings as needed
SKILLS AND EXPERIENCE REQUIRED
A relevant tertiary qualification in Accounting preferred
First class organisational and communication skills
Proficiency in use of Xero, and MS Office Suite, especially Excel
Ability to operate professionally at all levels and interact effectively with key stakeholders
Experience in the not-for-profit or small-organisation context (advantageous)
