About the Role
We’re looking for a Clinical Operations Administrator to join our growing Australian clinical team. This part-time role plays a pivotal part in supporting our echocardiography operations, both onsite and remotely. You’ll work closely with Sonographers, Cardiologists, clinic staff, and internal teams to keep everything running smoothly behind the scenes - ensuring seamless coordination, efficient scheduling, and outstanding patient and customer support.
As CardioScan continues to expand, this position has strong potential to transition into a full-time opportunity.
Key Responsibilities
Provide essential administrative support – Be the central point of contact for clinical, operational, and customer enquiries, managing bookings, patient scheduling, billing data, and phone support for clinics and patients.
Coordinate scheduling and rostering – Help maintain and optimise staff and patient schedules, ensuring coverage across clinics and quick adjustments when needed.
Optimise workflows – Partner with Echocardiographers and operational staff to streamline processes, delegate routine tasks, and minimise administrative load on clinical teams.
Maintain documentation – Support the development and maintenance of Standard Operating Procedures (SOPs) to ensure consistency and compliance across clinical operations.
Contribute to innovation – Identify and implement improvements that enhance efficiency, accuracy, and the overall quality of service delivery.
About You
You’re proactive, organised, and thrive in a fast-paced environment where precision and collaboration matter. You’ll bring:
Strong administrative and organisational skills – Confident managing multiple tasks, scheduling, and reporting with attention to detail.
Clear communication and interpersonal skills – Able to liaise professionally and empathetically with clinicians, staff, and patients.
Process and workflow management – Skilled in coordinating rosters, monitoring clinic activity, and identifying areas for improvement.
Problem-solving mindset – Quick to spot issues and act with initiative to resolve them.
Tech confidence – Comfortable using scheduling tools, EMR systems, and new digital platforms to support operations.
Collaborative approach – You work well with cross-functional teams and enjoy being part of a close-knit, high-performing group.
Continuous improvement mindset – Open to feedback and always looking for ways to make things run better.
