Location: Malvern, VIC (Hybrid, in office Monday to Thursday, work from home Friday)

Hours: Monday to Friday, approximately 10am to 3pm

About the Role

We are looking for a warm, motivated, and detail-oriented Client Care and Family Relations Coordinator to join our growing team.

In this role, you will be one of the first points of contact for both families and nannies, helping to ensure every interaction with Gracie feels professional, thoughtful, and personal. You will support families through our placement process, coordinate communication between clients and candidates, and assist with the smooth day-today operations of our agency.

No two days are ever the same. One moment you will be chatting with a family to understand their needs, the next you will be supporting the recruitment team with scheduling or helping resolve a last-minute change with care and calm. You will play a key part in keeping everything organised, efficient, and full of heart.

Key Responsibilities

Respond promptly and professionally to client and nanny enquiries via phone and email.

Build genuine relationships with families, understanding their unique needs and providing thoughtful support.

Support the recruitment team by coordinating interviews, placements, and onboarding processes.

Maintain accurate and up-to-date records in our CRM system.

Work collaboratively with our small but passionate team to deliver an exceptional experience for every family.

Problem-solve with initiative and empathy, ensuring any challenges are handled calmly and effectively.

Use sound judgment to identify solutions and maintain strong communication with both families and nannies.

Contribute ideas and feedback to help continuously improve our processes and service.

About You

We are looking for someone who brings warmth, professionalism, and care to everything they do. You will be a natural communicator who enjoys connecting with people and takes pride in offering exceptional service.

Excellent written and verbal communication skills.

Confident and comfortable speaking with families over the phone.

A genuine people person who loves helping others and building relationships.

Highly organised with strong attention to detail and follow-through.

Positive, proactive, and solution-focused mindset.

Comfortable working independently while contributing to a collaborative team culture.

Mature life experience, perfect for someone looking for meaningful, purpose driven work.

Prior experience in customer service, recruitment, childcare, or administration will be highly regarded.
