We’re looking for a creatively minded and highly organised Production Coordinator to join our in-house team on the Gold Coast. This role is the creative and logistical heartbeat of our productions — taking ideas from concept through to final delivery with precision, flair, and forward-thinking problem solving.

The ideal candidate is someone who thrives in both worlds: you can think big and creatively when developing concepts, storyboards, and shot lists — yet you’re also methodical and detail-oriented, ensuring every element of production runs seamlessly.

This is a client-facing role suited to someone confident in managing relationships, leading communication, and keeping all stakeholders aligned from idea to execution.

Key Responsibilities

Creative Development & Pre-Production

Collaborate with creatives to interpret briefs into clear concepts and visual treatments

Develop and present storyboards and shot lists that bring the creative vision to life

Join discovery calls to align on messaging, tone, and objectives

Translate creative ideas into structured production plans and schedules

Prepare call sheets and ensure all creative and logistical approvals are in place

Organise crew, travel, accommodation, and transport as needed

Apply for filming permits and manage pre-shoot logistics

Source and brief on-screen talent and voiceover artists

Coordinate wardrobe briefs, hair and makeup, and client sign-offs

Production

Act as the on-set link between the creative team, client, and crew

Ensure all shoot-day logistics are managed smoothly

Support the director and DOP by managing shot lists and continuity

Step in when needed to direct simple setups or guide talent naturally on camera

Maintain a creative eye throughout the day, ensuring the vision stays consistent

Post-Production

Monitor edit progress and ensure milestones are met

Review initial drafts for storytelling flow and creative consistency

Collate and manage client feedback, ensuring clear communication with editors

Deliver constructive, actionable notes that align with the creative intent

Oversee final delivery and ensure all wrap-up tasks are completed

Administration & Communication

Generate and send invoices via Xero, and track payment timelines

Maintain accurate project documentation and updates

Communicate effectively across internal teams, clients, and contractors

What We’re Looking For

Strong storytelling instincts and visual thinking ability

Excellent client-facing and communication skills

Highly organised, detail-oriented, and confident managing multiple projects

Tech-savvy, with proficiency in Microsoft Suite and cloud-based tools

Familiarity with AI tools (or eagerness to learn) highly desirable

Solid understanding of production and post-production workflows

Comfortable being hands-on on set and thinking on your feet when plans shift

This role offers a pathway for growth within our production team, with the potential to advance into more senior positions based on performance and demonstrated capabilities.

We are seeking someone part time and looking to go full time early 2026.
