About the Role

The Administration Assistant – Maintenance, provides vital administrative support across the Congregation’s maintenance operations. This role oversees the coordination of property and maintenance activities, ensuring smooth day-to-day operations across community residences, and Congregation facilities.

With a focus on supporting the Sisters living in community settings, you’ll manage scheduling, record keeping, contractor coordination, and compliance processes to help ensure all properties remain safe, well-maintained, and welcoming.

This role is based in Nudgee and requires Fulltime hours in the office, WFH is not available.

Key Responsibilities

Provide professional and efficient administrative support for all maintenance activities.

Coordinate regular maintenance programs (e.g. fire safety, pest control) and organise urgent works such as repairs or replacements.

Maintain accurate records of property assets, maintenance schedules, and compliance documentation.

Liaise with contractors, suppliers, and service providers to ensure quality and timely completion of works.

Respond to property inquiries from Sisters with care, professionalism, and sensitivity.

Process invoices and payments in accordance with organisational policy.

Support the planning and administration of property projects or upgrades.

Ensure all work is completed in accordance with safety, compliance, and organisational standards.

Provide general support to the wider Administration team as required.

About You

You’re a proactive and organised professional with excellent communication and problem-solving skills. You enjoy working in a collaborative environment where your attention to detail and care for others makes a meaningful difference.

You will bring:

Demonstrated experience in administration, ideally within a facilities, maintenance, or property environment.

Strong computer literacy (Microsoft Office Suite – Word, Excel, Outlook, PowerPoint).

Excellent organisational, time management, and communication skills.

Ability to manage competing priorities and work independently.

High level of discretion, professionalism, and respect for confidentiality.

A professional and collaborative attitude and a willingness to help.

A commitment to child safety and ability to maintain relevant probity checks (Blue Card).

A current Queensland Driver’s Licence.

Desirable:

Experience supporting elderly residents or in community-based residential environments.

Knowledge of facilities management systems or database management.

Understanding of the Catholic Church and its organisational context.
