JJ Care Services is a boutique disability and aged care provider based in the Sutherland Shire, supporting hundreds of families and participants across Greater Sydney. Our team are looking for a highly organised administrative superstar to join our team based from our busy residential and respite care facility in Gymea Bay.
This is a full-time, office-based role. Flexibility with hours is possible for the right candidate; however, we do not offer working from home arrangements.
About the Role
We’re seeking a reliable and organised Administration Assistant to support the smooth daily operations of our residential care facility. This role is ideal for someone who enjoys variety, loves being part of a team, and thrives in a fast-paced environment. You will be the face of Dianne House, stationed at the front desk of the facility and the first friendly face all of our staff, guests, contractors, residents and visitors see upon their visit to the facility.
General administrative duties including word processing and document preparation, mail management and distribution, filing, scanning and correspondence with internal and external stakeholders and customers
Manage reception including answering and directing all incoming calls and emails, and greeting and directing visitors
Maintain presentation, tidiness and stock of reception lounge, front desk, meeting rooms and nurses stations
Provide administrative support to the care coordination team and nursing team to ensure smooth daily operations
Manage staff incoming enquiries and be familiar with internal staff procedures to provide guidance
Assist with onboarding and recruitment activities
Maintain and improve administrative procedures and systems
Manage document control, filing, document storage and internal intranet
Organise meetings, events and functions as required
Follow up outstanding bookings, payments and invoices
Update and maintain resident files in accordance with internal policy
About You
We’re looking for someone who brings positivity, initiative, and a can-do attitude to the team. You’ll be someone who enjoys helping people, can juggle multiple tasks at once, has initiative and likes to be busy, and takes pride in your work. You will be providing support to a big team of people - so being organised is important!
At least 12 months administrative experience, ideally in healthcare or community services
Strong communication and organisational skills
A friendly, professional and confident phone manner and the ability to handle a high call volume
High attention to detail and reliability
The ability to work autonomously and as part of a team
Strong computer skills and confidence with the Microsoft office suite, and ability to learn new programs quickly
Ability to maintain strong confidentiality when handling sensitive information
Be comfortable working in an active care environment and respectful of our clients home, and comfortable involved in a healthcare dynamic and around medical emergencies
Ability to manage in a fast-paced, high pressure environment
