Miyay Birray Youth Service is seeking an experienced Administration Assistant to provide administrative and reception services to the Moree Bail Accommodation Program to support the delivery of quality services. As an integral part of a team the role is responsible for managing administrative systems and procedures to deliver a high level of administrative and coordination support.
Service overview
The Moree Bail Accommodation Program will provide short-term accommodation and a range of other community support services for young people in Moree in contact with the courts.
The program will provide safe accommodation with 24/7 supervision for young people granted bail. It will offer an efficient pathway to support and services for young people granted police bail afterhours. For those granted bail by a magistrate it will offer the young person accommodation and intensive supports on country in a safe and supportive environment.
The Program will ensure that cultural support is embedded and complements other interventions offered to young people involved with the justice system.
Key Accountabilities
Act as a point of contact performing reception services including telephone and/or counter enquiries from staff and clients and provide a timely and effective information and referral service.
Undertake a range of administrative services relating to the business, including complex client matters, word processing, data entry, preparing correspondence, collating documentation, maintaining electronic and file records and support with meetings and events to support the day-to-day operations of the team.
Assist with financial and workforce transactional activities including purchasing, invoice processing, petty-cash, time-sheet management adhering to the programs processes in accordance with relevant practices and standards.
Assist and manage the intake and referral process of the Moree Bail Accommodation program.
Create business documents such as templates, policy documents and agendas.
Monitor and maintain store supplies and equipment.
Assist with projects and research.
Communicating respectfully with Aboriginal communities in a culturally sensitive way.
Key Challenges
Providing administration and reception services to a range of internal and external clients in a high-volume working environment and determining the appropriate response or area of referral.
Use sensitivity, discretion and a professional manner when handling difficult and complex enquiries and issues.
Working with minimal supervision and prioritising own workload and managing competing deadlines to a high level of accuracy.
Key Relationships
Internal: Miyay Birray, Moree Shae Academy and Pius X Aboriginal Corporation.
External: Young people, families, community organisation, local community members and Elders, Youth Justice and other government agencies.
Role dimensions
The role will work in accordance with established practices and procedures in relation to the day-to-day delivery of administrative support services to meet deadlines. The role will have some independence in the way their work is prioritised and undertaken.
The role refers more complex enquiries to the appropriate area and seeks guidance from the supervisor for problems which cannot be resolved by standard practice and procedures.
Reporting line
This role will report directly Project Manager, Moree Bail Accommodation Program.
Key knowledge and experience
Work with Aboriginal families and communities, candidates will need to demonstrate cultural capability, which includes lived experience, community connection, relationships with Aboriginal organisations, walking in two worlds, and historical context and impact.
Essential requirements
