Office Administrator – Full Time

We are a locally owned, hands-on team providing earthmoving and plant equipment to the construction industry with in South East Queensland.

We’re looking for a motivated and highly organised Office Administrator to join our dedicated team in Oxley. This is a full-time, office based role within a busy earthmoving business, offering the chance to be part of a supportive environment where your contribution truly makes a difference.

About the Role

You’ll play a key part in the day to day operations of the business in the administration team — coordinating with customers and subcontractors to ensure jobs run smoothly and efficiently.

Key Responsibilities

· Respond to inquiries and accurately recording bookings received via phone and text

· Liaise with clients to ensure all booking information is obtained and is accurate

· Managing a high volume of incoming and outgoing calls

· Coordinate, plan and schedule work for machines, trucks and subcontractors to construction projects within South East Queensland

· Build and maintaining strong relationships with clients and subcontractors alike

· Enter jobs into EQUIPR software program with correct details and maintaining subcontractor records

· Communicate information within the team, subcontractors and clients

· Process credit card receipts

Essential Skills

· Available to work Monday to Friday (possible on call weekend work on rotation)

· Previous experience as an administrator in a fast-paced environment is a must

· A strong work ethic and positive commitment to working collaboratively within your small team

· Demonstrated organisational skills with exceptional attention to detail

· Calm disposition, able to adapt to change and think on your feet to offer solutions in a timely manner

· Fast and accurate data entry skills

· Clear and confident telephone manner

· Excellent customer service skills

· Ability to communicate professionally and informally

· Familiar with South East Queensland suburbs and road networks

· Demonstrated Microsoft MS Office experience including Word, Excel, Outlook

· Previous data base management experience
