Position Overview

The Office Administrator will oversee day-to-day office management and administration functions, act as a key point of contact for customer service, manage accounts payable and receivable processes, provide rostering and payroll administration support, and deliver high-level administrative support to the senior management team. This position requires a highly organised, detail-focused professional who thrives on getting everything organised properly and working efficiently.

Key Responsibilities

Office Management & Customer Service

- Oversee the smooth running of the office, including supplies, equipment, and administrative systems. - Be the first point of contact for residents, families, staff, and visitors, providing professional and courteous service. - Manage general correspondence, filing, and record-keeping.

Financial Administration

- Process accounts payable and receivable, ensuring accuracy and timeliness. - Maintain financial records in Xero and prepare regular reconciliations. - Support the senior management team with financial reporting as required.

Rostering & Payroll

- Assist with staff rostering to ensure adequate coverage across the facility. - Support payroll preparation and processing, ensuring compliance with award and enterprise agreement conditions. - Maintain staff records and leave balances in line with HR and compliance requirements.

Management Support

- Provide general administrative support to the senior management team, including scheduling, minute-taking, and preparing reports. - Assist with compliance documentation and reporting as required in the aged care sector.

Skills and Experience

- Proven experience in an office administration role, ideally within aged care, health, or a related service sector. - Experience in aged care or a related sector is a strong advantage. - Strong proficiency with Xero and Microsoft Office Suite. - Experience in accounts payable/receivable and payroll/rostering. - Highly organised, with the ability to manage multiple tasks and meet deadlines. - Strong communication and interpersonal skills, with a customer service mindset. - Understanding of the Greek language is an advantage, but not essential. - Attention to detail and a proactive approach to problem-solving.
