We are looking for an organised and experienced medical administrative individual! If you have worked under a surgeon as a personal assistant and are experienced in surgical bookings who is looking for a busy but positive office culture with positive patient outcomes, we can't wait to hear from you!

We are a fast-paced and busy innovative surgical practice providing complete care for patients undergoing surgical and non-surgical weight loss, general surgery and plastic surgery. Experience working with a Plastic Surgeon will be highly regarded.

Our new plastic surgeon commences October 2025.

Applicant should be able to:

- Ensure a welcoming and supportive environment for patients with exceptional customer service offering

- Is a professional individual with a high level of understanding of confidentiality

- Enjoys working in a unique and busy team environment with surgeons, doctors and allied health, all working towards a common goal for patients

- Have experience managing medical and allied health practitioner appointments, calendars and recall lists

- Have experience with surgical quoting, bookings and theatre lists

- Attention to detail with data entry and medical record keeping

- Demonstrated high accuracy in data entry (minimum 98% accuracy rate) with strong attention to detail in medical record keeping

- High-level language skills

- Ability to liaise with other health care professionals, including allied health and other doctors

- Provide general secretarial duties including scanning, e-faxing letters, sending letters

- Work with Clinic to Cloud medical software; is an advantage but not essential

- Manage enquiries from patients and other healthcare professionals

- Manage patient referrals

- Create surgical Fee Estimates using practice templates and be competent in contacting other supporting medical practitioners.

- Can work both autonomously and collaborative within a team

To succeed in this role you will:

- Genuine interest in helping people

- Be well presented

- Have a soft and warm manner and be a team player

- Possess excellent verbal, telephone and computer skills (previous experience with medical software Clinic to Cloud highly preferable)

- Have previous experience in a surgical practice/medical practice/or other healthcare setting in a reception or personal assistant role (minimum 2 years)

- Have strong skills and understanding in one or more of the following Medicare/HiCaps/Allied Health/Private Health Care/Hospital Bookings/Theatre Lists

- Understanding of medical terminology, particularly surgical and anaesthetic terms

- The applicant must be reliable

- The applicant must have the ability to work as part of a busy and cohesive team and at the same time work independently

- National Police Clearance is mandatory

- Must have Australian work rights (Australian citizenship, permanent residency, or valid work visa)

- First Aid is desirable.

Information for applications:

- The successful applicants will be scheduled to work full-time with rostered hours. Potentially 1x Saturday bi monthly.

- Hourly rate is above award and can be negotiated dependent on experience
