Role Summary
As our Front Office Coordinator, you will serve as the face of our practice. You will manage reception duties, billing and insurance processes, appointment scheduling, and support for both patients and clinical staff. Your role is vital in ensuring that patient visits run smoothly and that every patient feels welcomed and well cared for.
Key Responsibilities
Greet patients in a warm and professional manner; manage check-in and check-out.
Answer phone calls and email enquiries, schedule, confirm or reschedule appointments.
Maintain and update patient records in Dental4Windows.
Process billing, payments and HICAPS insurance claims; verify and follow up on outstanding accounts.
Coordinate between patients and dentists, hygienists or assistants to keep the clinic running efficiently.
Ensure the reception area is tidy and presentable; manage front office supplies.
Assist with administrative tasks such as reminders, recalls, correspondence and follow up.
Uphold patient confidentiality and comply with all privacy, health and safety policies.
Skills and Experience
Prior experience in a dental front office, medical reception or administrative role is preferred.
Excellent communication skills, both verbal and written, with a friendly, patient-centred attitude.
Strong organisational skills with the ability to multitask in a fast-paced environment.
Competency with computer systems; familiarity with dental practice management software (for example, Dental4Windows, EXACT or similar) is desirable.
Understanding of dental billing, health funds and insurance processing.
Reliability, punctuality, strong attention to detail and a commitment to customer service.
