We are looking for a dedicated Clinical Receptionist to join our East Melbourne team and support the smooth operation of our clinic while ensuring our clients and their families receive the highest level of care and customer service.

About the Role

As a Clinical Receptionist at Nexia Health Care, you will play a key role in managing the daily administrative functions of the clinic and acting as the first point of contact for our clients. Your responsibilities will include:

Managing clinician and specialist schedules, appointments, and reminders

Follow up on missed appointments

Liaise with clients for all additional medical documentation

Overseeing the clinic’s administrative processes and payments

Format and process specialist reports

Maintaining accurate customer records in our CRM system

Be the first point of contact on all inbound calls

Ensuring the clinic environment is safe, secure, and well-maintained

Coordinating meetings and facilitating effective communication between clinic staff, clients, and external stakeholders

Work collaboratively with clinical and specialist team

Upholding strict confidentiality and privacy standards in line with the Privacy Act

Supporting the clinic in compliance with healthcare regulations and participating in quality assurance initiatives.

Who We Are Looking For

We are seeking an enthusiastic individual with:

Proven experience in a customer-facing role, ideally within a healthcare or clinic setting

Compassion and empathy when working with children, adolescents, and their families

Strong organisational skills and the ability to meet deadlines in a fast-paced environment

Advanced proficiency in Microsoft Office (Word, Excel, Outlook) and familiarity with Google systems

Excellent communication skills, both verbal and written

Ability to work on-site full-time due to the hands-on nature of the role.
