Bayswater Secondary College, founded in 1961, is a growing school in Melbourne’s eastern suburbs, 34km from the CBD. With strong ties to local primary schools, families, and community partners, we currently enrol 270 students, with projected growth to 550 by 2028.

Responsibilities

The successful applicant will work closely with the Principal, Business Manager and other members of the College leadership team, staff, students, and families to support the efficient daily operations of the school. This multifaceted role encompasses responsibilities across Administration, Student Attendance, Daily Organisation, and Events Management.

Key responsibilities include, but are not limited to:

Administration

Deliver a wide range of general administrative support to ensure the smooth functioning of the school office and support services.

Professionally manage incoming phone calls, emails, and in-person enquiries, providing timely and accurate information to staff, students, families, and community members.

Process and receipt payments from parents for excursions, fees, and other school-related costs in line with school procedures.

Provide day-to-day support to students, including addressing general queries and offering assistance as needed.

Support the Principal team, Business Manager and teaching staff by managing administrative tasks such as document preparation, communication distribution, data entry, and coordination of meetings or appointments.

Assist external service providers with administrative tasks and coordination as required, ensuring seamless service delivery within the school.

Contribute to the successful planning and execution of school events and projects by delivering timely and accurate administrative support.

Develop and implement induction processes for new staff, volunteers, and other workers, ensuring appropriate onboarding documentation and compliance with relevant school policies.

Attendance Management

Monitor and maintain accurate daily attendance records for all students using the school's data systems.

Contact parents/guardians of absent students to confirm absences and support early intervention strategies.

Accurately apply absence codes and ensure timely data entry into the student management system.

Work collaboratively with the Attendance Professional Learning Community (PLC) to implement strategies aimed at improving whole-school attendance.

Support attendance-related reporting and data analysis as required.

Daily Organiser

Coordinate and oversee the day-to-day operational logistics of the College, ensuring classes and activities are appropriately staffed and resourced.

Manage the booking and induction of Casual Relief Teachers (CRTs), including monitoring availability and ensuring appropriate coverage for staff absences.

Facilitate room changes, coordinate events logistics, and manage timetable adjustments as needed to support daily operations.

Maintain effective communication with staff regarding daily changes or disruptions to timetables or events.

Support the leadership team with daily organisational planning and implementation.

Events Management

Enter events, excursions, and activities into the Student Activity Locator (SAL) and ensure compliance with Departmental and school policies.

Ensure all school events meet necessary requirements such as student-teacher ratios, risk assessments, financial approvals, and executive sign-off.

Assist Teachers in charge with the organisation and follow-up of events, including contacting families for permission forms and payment reminders.

Organise catering and hospitality for a range of school events, including Curriculum Days, Open Night, Taste Testers, Parent-Teacher Interviews, and Staff functions.

Collaborate with key stakeholders to ensure the smooth delivery of school events and activities.

Desirable

Experience using education management systems, including but not limited to Compass, CASES21, Griddle and the Student Activity Locator (SAL).

Experience working in a secondary school environment, particularly in roles involving scheduling, student support, or events coordination.

Current First Aid and/or CPR certification or willingness to obtain.

Knowledge of DET and school policies relating to attendance, excursions, events, and staff coverage.

The successful applicant will be expected to provide general administrative assistance across all key responsibility areas: including Administration, Attendance Management, Daily Organisation, and Events Management ; as required. This includes undertaking additional duties or projects as directed by the Principal, Business Manager or other members of the school leadership team to support the smooth and effective operation of the College.

Role
Hours of on site attendance:

For the remainder of 2025
8.00am to 4.06pm (Daily Organiser component will not be taken in full this year, but the successful candidate will be trained by current Daily Organiser in that time)

For 2026 onwards:
7.15am to 3.21pm

There is no work from home component for this position

Range 3 is distinguished by the introduction of management responsibility and accountability for the delivery of professional support services. The role will usually impact beyond the work area or professional field. It seeks to gain cooperation of other staff members or members of the school community to achieve specific objectives, such as in school administration, operations or educational programs.

Direction on targets and goals is provided but the position will have some degree of latitude in determining how they are achieved. This latitude will generally be limited by standard procedures and school policy. Deviation from standard procedures and school policy will require guidance and direction from senior management.

The provision of business management responsibilities becomes a feature at range 3. Management of staff to achieve the expected outcomes is a key responsibility. Staff management issues will be resolved with minimal reference to senior management, although guidance will be required in more complex cases. Senior management will be provided with timely reports and advice, although this will generally be confined to matters relating to the immediate work area, service provision or educational program and is unlikely to impact substantially on whole of school operations.

This is the minimum range for positions that carry a mandatory qualification requirement of not less than four years. Professional student support positions become a feature at range 3 (e.g. therapists, psychologists) where standard professional services are delivered. Professional support and guidance will be close at hand and deviation from standard procedures and school policy will require guidance and direction from senior management.

An education support class position supports the educational services being provided to students, but must not include duties of teaching as defined in clause 2.6.1 of the Education and Training Reform Act 2006 (Vic) or its successor. Supervision of students cannot be required except where it is an integral part of the employee¿s position or involves supervision of students individually or in small groups, in controlled circumstances, where the responsibility for students remains clearly with a teacher.
