About the Role

Our Dispensing Services Assistants play a key part in supporting the smooth operation of our dispensing and laboratory services by ensuring accurate order processing, efficient stock and inventory management, and timely communication with patients and suppliers.

Accountabilities

  • Accurately process order details into practice management system.
  • Ensure stock management and order processing systems are kept up-to-date and accurate.
  • Interact professionally with patients by telephone and in person, advising when spectacles, contacts or repairs are ready for collection, or in some cases delayed.
  • Process incoming stock shipments in a timely manner, verify delivery against the purchase order and report any discrepancies or missing stock.
  • Assist with inventory management; monitor inventory levels and conduct regular stocktakes as required.
  • Liaise with suppliers, optometrists, and dispensing teams to confirm any order discrepancies.

You will need to be a proactive and enthusiastic team player with strong administrative skills and a keen eye for detail. You will enjoy working in a fast-paced environment where accuracy and organisation are key.

With excellent communication skills, you will build strong professional relationships with colleagues, suppliers, and patients, contributing to our goal of clinical excellence.

Skills and Knowledge

  • Well-developed administrative and organisational skills.
  • Ability to carry our tasks thoroughly and with accuracy.
  • Attention to detail with the ability to prioritise tasks and meet deadlines.
  • A cooperative, team-focused approach with the ability to build positive working relationships.
  • Excellent written and verbal communication skills.
  • Proficiency with computer systems and the ability to quickly learn new technologies (eg practice management or ordering systems)

Essential criteria

  • Motivated to serve the community and people experiencing disadvantage.
  • Experience in a not-for-profit or public health organisation.
  • Experience in an optical or clinical services environment.

Organisation Structure

The ACO employs around 160 full-time, part-time and sessional staff across six worksites in metropolitan Melbourne. There are four internal divisions focusing on different aspects of our business:

Clinical Services Division

Provides low-cost eye care services to disadvantaged people, in 6 clinics throughout metropolitan Melbourne, as well as through the Victorian Eyecare Service which services rural and regional areas of the state. Clinical Services also assists with the training of optometry students, in affiliation with several Australian tertiary institutions.

Professional Development Division

Incorporates membership - around 660 optometrists in Victoria and interstate; continuing education/ professional development; the Nathan Library – which has an excellent collection in vision science, optics and optometry; and the Cyril W Kett Optometry Archive & Museum which holds an archive collection of documents, spectacles and ophthalmic instruments, documenting the history of optometry.
