Position Purpose
The Service Coordinator is responsible for managing the day-to-day workflow of the workshop, scheduling and coordinating both in-house and external service mechanics, and overseeing all associated administration tasks. This role ensures that service operations run efficiently, equipment is maintained to the highest standard, and customer needs are met promptly.
Key Responsibilities
Workshop & Service Coordination
Schedule and allocate work orders for workshop technicians and external service mechanics.
Monitor daily workflow and ensure timely completion of service and repair jobs.
Track and manage equipment servicing, breakdowns, inspections, and preventative maintenance schedules.
Schedule Service/Maintenance on Customer owned equipment managed by All Star.
Liaise with the Service Manager to prioritise urgent work and balance workloads effectively.
Spare parts ordering and inventory control.
Administration & Reporting
Process service orders, job cards, and maintenance records accurately in the company system.
Manage purchase orders, supplier invoices, and parts requests.
Maintain accurate service history and compliance documentation for all equipment.
Assist with warranty claims and follow up with suppliers/manufacturers as required.
Prepare service reports and provide updates to the Service Manager on workshop performance.
Customer & Stakeholder Engagement
Act as the primary point of contact for service-related customer enquiries.
Communicate job progress, delays, and outcomes to customers and internal stakeholders.
Coordinate with branch operations, rental, and sales teams to ensure equipment availability and serviceability.
Compliance & Safety
Ensure all work practices align with company safety policies, manufacturer guidelines, and Australian WHS standards.
Support the Service Manager in fostering a strong safety culture within the workshop and field service teams.
Maintain records to support compliance audits and inspections.
Key Performance Indicators (KPIs)
On-time completion rate of scheduled services and repairs.
Accuracy of service documentation and records.
Customer satisfaction ratings for service support.
Workshop efficiency and utilisation rates.
Compliance with WHS and company policies.
Skills & Attributes
Strong organisational and time management skills.
Ability to manage competing priorities in a fast-paced environment.
Excellent communication and customer service skills.
Proficiency in Microsoft Office Suite and service/ERP software systems.
Mechanical knowledge of access equipment (desirable but not essential).
Problem-solving skills with a proactive approach.
Qualifications & Experience
Previous experience in service coordination, scheduling, or workshop administration (equipment hire, automotive, or heavy machinery industry preferred).
Knowledge of mechanical servicing, repairs, and maintenance practices.
Experience working with technicians, contractors, or external service providers.
Understanding of safety and compliance requirements in plant/equipment service environments.
