About Kid Link:
We’re a highly regarded paediatric practice in Mitcham, with a team of 16 passionate OTs, a Practice Manager, 2 Family Liaison team members and a Digital Learning Coordinator. We work with children aged 1–18 and their families, delivering neurodiversity-affirming, family-centred, and evidence-based therapy across clinic, school and community settings.

What the role looks like:
We are seeking a person with strong customer service experience to join our team in 2026. This role involves providing reception support to the families who access our services, as well as administration support to the Practice Manager and therapy team. The successful applicant will report directly to the Practice Manager.
Shift times:
- Mondays: 7:20 am – 1:50 pm
- Tuesdays: 7:20 am – 1:50 pm
- Wednesdays: 7:20 am – 10:20 am
The successful applicant will also have the flexibility to cover additional shifts where possible and be available to work one Friday per month.

Key Responsibilities:
Client Communication & Reception
Welcome clients, families, and visitors with professionalism and warmth
Answer calls and emails, providing accurate and timely information
Assist with intake, check-in/check-out, and manage the waiting list
Appointments & Scheduling
Manage bookings, cancellations, and therapist calendars
Coordinate appointments for individual and off-site sessions
Maintain accurate client records across administrative systems
Billing & Financial Administration
Process payments, invoices, and receipts
Support NDIS, Medicare, and private billing procedures
Track approved plans and follow up on account enquiries
Administrative Support
Maintain client records and documentation in line with privacy requirements
Prepare paperwork and referrals
Handle scanning, emailing, filing, and other general administrative tasks.
Team & Culture
Collaborate with the team to provide consistent, high-quality service
Contribute to a positive, safe, and inclusive clinic environment
Attend team meetings and support clinic operations
About You
We’re looking for someone who:
Has experience in customer service.
Demonstrates excellent written and verbal communication skills.
Can work effectively under pressure in a busy and sometimes noisy environment.
Has strong interpersonal skills and a positive, can-do attitude.
Is confident with computers and typing.
Works well collaboratively as part of a team.
Desirable:
Experience using Splose or a similar client management and booking system.
Understanding of funding and rebates (NDIS, Medicare).
Previous experience in a front desk or reception role.
Start Date: December 2025 or January 2026 (flexible for the right candidate)
