The role
As an integral member of the Beacon team, you’ll be the friendly first point of contact for visitors, callers and clients, keeping our front desk humming and our office running smoothly. You’ll manage day-to-day administration, support invoicing and accounts receivable, provide practical support to the CEO, and assist our People & Pathways Coordinator with recruitment, onboarding and rostering. You’ll also keep our workplace stocked, safe and welcoming.
Key duties
Manage incoming calls, emails, correspondence and the front desk; orient and induct visitors to site.
Welcome and direct visitors to Beacon Laundry.
Manage outgoing and incoming mail.
Assist the Leadership Team with administrative tasks related to invoicing and quotes.
Assist with recruitment, onboarding and rostering as required.
Monitor and replenish office stock (admin, kitchen, bathrooms) and materials for distribution.
Manage external suppliers and services (e.g., handypeople, cleaners, pest control, waste management, feminine hygiene services).
Coordinate meetings: schedule, prepare agendas, take minutes and distribute papers.
Data entry and analysis: maintain records in relevant systems and generate reports.
Help ensure all Beacon common areas are tidy, safe and well resourced.
Provide general administrative support across the team as needed.

About you
Polished customer service skills and a genuine, engaging manner.
Strong admin skills and attention to detail; thrives in a busy, purpose-driven environment.
Proficient with Microsoft 365/Teams; confident with Word, Excel, email and web tools.
Experience with invoicing/accounts receivable (Xero or similar) is a plus.
Organised multi-tasker with excellent time management; comfortable in a start-up where no two days are the same.
