Operations and Project Co-Ordinator
RTO Works
Posted 2 days ago
About this role
The Operations Coordinator is the organisational backbone of our consulting team – keeping projects on track, communication flowing, and outcomes documented. You’ll manage multiple moving parts with calm efficiency, ensuring our consultants can focus on delivering value for our clients.
While your role will be based within RTO Works, you’ll also occasionally communicate with our sister business Didasko Online to coordinate on shared projects or client matters.
From managing inboxes to coordinating client surveys, scheduling online webinars and workshops, overseeing version control of resources, preparing proposals and agreements, and liaising with marketing about successful project outcomes, you’ll help keep operations running like a well-oiled (and friendly) machine.
What you’ll be doing
Coordinating consulting projects, tracking deadlines, and preparing closure reports.
Managing client inboxes and coordinating proposals, service agreements, and invoices.
Scheduling and coordinating online webinars and workshops across Australia.
Managing RTO Works Membership offerings.
Overseeing intellectual property (IP) management – version control, updates, and uploading resources to our online store.
Liaising with marketing to share project wins and client feedback.
Preparing reports for the Managing Director on projects, workload, and performance.
What we’re looking for
Strong admin and project coordination skills, with an eye for detail.
Experience in the legal, regulatory, or RTO consulting sector.
Skilled in managing documents, proposals, and client agreements.
Confident coordinating online events and working with webinar platforms.
Comfortable managing multiple priorities in a remote environment.
We'd love if you have
Experience in education, training, or digital services.
Familiarity with Moodle or other LMS platforms.
Experience using Trello, Asana, Zoho or other task management tools.
Understanding of digital content production workflows.
Knowledge of compliance/reporting in the vocational education space.
Why you should work with us?
At RTO Works, we prioritise our people and are committed to fostering a culture of integrity, sustainability, collaboration, and innovation. As part of our team, you'll enjoy:
Flexible work arrangements – work remotely from anywhere in Australia, with an optional hybrid arrangement in our Richmond office.
Flexible hours – 30 hours per week over 5 days.
Supportive, down-to-earth team culture.
Varied, fast-paced role where no two days are the same.
Opportunities to grow your skills in the VET sector.
