Company Overview

Our company is an established import business based in Melbourne with nearly a decade of experience, specializing in snacks, confectionery, instant noodles, sauces, beverages, frozen foods, household goods, cosmetics, and makeup from Japan, Korea, and China. We manage a product range of approximately 400–500 items. We are responsible for supplying Asian supermarkets across Victoria, South Australia, New South Wales, and Tasmania, as well as liquor stores and online shopping platforms. We operate our own delivery fleet for local distribution within Melbourne and partner with third-party logistics providers for nationwide shipments.

About the Role

We are seeking a detail-oriented and proactive Contract Administrator to join our growing team. The successful candidate will play a key role in managing contracts and agreements critical to our supply chain, procurement, and business partnerships. This role requires strong organizational skills, effective communication, and the ability to liaise across multiple departments and external partners to ensure contractual compliance and support operational efficiency. Tasks & Responsibilities:

1. Draft, review, and process contracts and agreements related to sales, procurement, supply chain, logistics, warehousing, and vendor partnerships.

2. Participate in negotiations of contract terms and conditions with suppliers, logistics providers, and other external partners, collaborating closely with internal teams such as procurement, warehouse, and finance.

3. Identify potential contractual risks and propose mitigation strategies to management to ensure smooth supply chain operations.

4. Ensure all contracts comply with relevant trade, import/export regulations, and legal requirements.

5. Maintain accurate, organized, and up-to-date contract documentation and records for easy retrieval and audit purposes.

6. Assist internal departments by interpreting contract terms, ensuring compliance with contractual obligations and timelines.

7. Prepare regular contract status reports, monitor contract deliverables, track key milestones, and highlight any issues or delays.

8. Coordinate contract close-out processes, ensuring completion of all required documentation and proper archiving.

Qualifications, Skills and Experience Requirements:

1. Diploma or higher qualification in Law, Business, Project Management, Supply Chain Management, or a related field.

2. Minimum 1 year of relevant work experience, preferably within contract administration in a commercial environment.

3. Experience working in import/export, distribution, or retail sectors is highly regarded.

4. Good understanding of contract terms, commercial agreements, and risk management principles relevant to supply chain and vendor relationships.

5. Strong attention to detail, with excellent organizational and time management skills.

6. Clear and effective communication skills, capable of liaising confidently with internal teams and external partners.
