The Role

YOUnique Psychology is seeking a Practice Manager who can bring efficiency, professionalism, and thoughtfulness to our small, values-driven team. This role calls for a highly organised, proactive, and strategically minded professional who excels at improving systems, leading processes, and ensuring nothing slips through the cracks. As Practice Manager, you will provide operational support to the Director, lead administrative support for our clinicians, and coordinate a small administrative team as it develops, maintaining the warmth and quality of service our clients value.
About the Role
This is a hybrid, part-time role with flexible options to structure your hours.
Hours: 12 hours per week, worked over three workdays spread across four calendar days. There is scope to increase hours over time as the practice grows.
On-site Requirements: While the role is primarily off-site, occasional on-site visits or errands will be required. Applicants must be based within a reasonable travel distance of our clinic in Melbourne, VIC.
Pay: Above Award, between $35 and $45 per hour (Level 8, Health Professionals and Support Services Award) + 11% super, depending on experience, qualifications, and attributes.
Key Responsibilities
Manage and maintain clinic operations and administrative systems, ensuring alignment with clinic policies and values
Develop, implement, and review policies, systems, and procedures
Oversee strategic planning and continuous improvement
Identify and pursue opportunities for clinic growth
Anticipate and respond to the operational needs of the clinic and the Director
Assume the executive and cognitive load of ensuring the smooth running of a psychology clinic
What We’re Looking For (Key Selection Criteria)
Essential:
Relevant qualifications with substantial relevant experience in a senior administrative or management role within a clinical, health, or comparable professional services environment, or an equivalent combination of relevant qualifications, education, experience, and management expertise.
Highly developed interpersonal and leadership skills, including the ability to direct, support, and hold accountable other staff or contractors to meet organisational standards and deadlines.
Demonstrated excellent written communication skills, with the ability to write clearly, unambiguously, concisely, and professionally for a broad range of stakeholders across all levels of the organisation, including other staff and clients.
Demonstrated ability to interpret, initiate, develop, and implement effective workplace policies and procedures.
Demonstrated ability to work autonomously, making informed decisions without day-to-day supervision while ensuring alignment with organisational priorities.
Demonstrated high-level analytical and problem-solving skills, with the ability to anticipate challenges, exercise sound judgement, and implement effective solutions that support the clinic’s objectives.
Demonstrated high-level organisational skills and strong attention to detail, including the ability to set and prioritise competing demands and implement systems to ensure critical tasks are actioned without delay and deliverables are consistently met.
Excellent computer literacy, including advanced proficiency in the Microsoft Office suite and contemporary cloud-based platforms, with the ability to quickly learn and integrate new systems to improve operational efficiency.
Desirable:
Advanced proficiency in Canva and similar design applications.
Demonstrated experience using Halaxy or other clinical practice management systems.
Demonstrated strong working knowledge of clinically relevant legislation, standards, and external policies and procedures, including but not limited to Medicare, Private Health, Freedom of Information, patient rights, and referral procedures.
Experience creating high-quality, patient-facing information materials, including information sheets and website copy, with an understanding of accessibility and plain language principles.

A valid National Police Check (or willingness to obtain one before commencing)
