Practice Manager & Medical Receptionist

Carlton Medical Centre is looking for a friendly and enthusiastic person to take on the roles of Practice Manager (shared role) and Medical Reception. At this point, the successful candidate would work two days as a Practice Manager (Tuesday/Wednesday) and two days on reception (Thursday/Friday), with hopes to take on more days as the practice manager in the future. Ideally, this person will become the full time practice manager.
We have been servicing the North Carlton area for over 40 years and are well known for our helpful and empathetic administrative staff. We also have very little staff turnover because we prioritise morale and wellbeing.
In terms of the Practice Manager position, the successful candidate would be working alongside our current practice manager for training, and eventually working independently.
Some of the roles that you would be responsible for include:
Onboarding and supporting of registrars and independent practitioners (GPs)
Managing the online booking system (AutoMed)
Managing the policy and procedure manual (on PracticeHub)
Organising, preparing and executing Accreditation
Supporting and managing reception staff, nurses and GPs
Organising, attending and running clinic meetings
Liaising with patients, specialists and other services
Using programs such as Best Practice, PRODA, AutoMed, PracticeHub, POLAR, Cubiko, Reckon Hosted, etc.
Rostering and paying staff
Managing the financials of the business
Managing the maintenance of the building
Ideally, we are hoping that the person who takes on this role would take over the role entirely in the future (becoming full time).
Until becoming the full time practice manager, the other two days would be spent on Reception.
As a receptionist, your roles would include:
Opening and closing the clinic
Making and billing appointments
Triaging (training will be supplied)
Liaising with patients, doctors and external specialists/services
Scanning, emailing and faxing
Minor tidying duties around the reception/waiting room areas
Completing the end of day banking
Sterilising (training will be supplied)
Other miscellaneous tasks
The successful candidate must have:
Excellent communication skills
Confidence with computers (experience with Best Practice would be preferred but not a requirement)
A team player mentality, but also able to work confidently, independently
Initiative
Presents themselves well
Empathy
Flexibility to cover for other staff when on leave (including the occasional Saturday).
Experience as a medical receptionist/practice manager is preferred but not a requirement.
