We are seeking an efficient, motivated and personable Administrative Assistant to support our growing private practice. Displaying warmth, compassion and professionalism, you will be responsible for answering incoming phone calls and responding to client enquiries over email, voicemail and fax, from both new and current clients. You will provide clients and referrers with information about our services, fees and processes, support clients with booking and rescheduling appointments, and assist with filling cancellation appointments. In addition to reception services, you will also provide assistance with paperwork management, create new client files and assist with marketing and clinic communications.

You will work closely with our Practice Manager and Intake Coordinator to ensure the smooth running of our clinic and provide crucial support our clients and clinicians.

You will be able to work from home in this flexible part time role, from a private and professional home office. There will be the occasional requirement for an in person meeting at our offices, therefore applicants will need to be based in Melbourne and able to travel to one of our clinic locations when required (Ivanhoe or Mornington).

We are dedicated to helping people experiencing eating disorders and body image concerns, and we work with people across the lifespan, adopting an inclusive, trauma-informed and neuro-affirming approach.

Key Responsibilities:

Reception duties and responding to incoming phone calls from clients and organisations

Provide detailing information about our services, fees and intake process.

Follow up all new client enquiries via email, webpage enquiry or phone call.

Manage all appointment cancellations and rescheduling requests.

Assist the practice manager with filling cancelled appointments and booking in new clients.

Appropriately apply the cancellation policy and adhere to other clinic processes and policies

Create client files and record new client details

Paperwork administration including inputting referrals, sending letters, marketing and communication.

Management of client files, including updating or archiving when required.

Your Skills and Requirements:

Proven experience in a similar administrative assistant role

Experience with reception duties and customer service

Excellent attention to detail and ability to work independently

Strong verbal and written communication skills

Excellent computer literacy skills

Friendly, approachable and personable

Able to communicate compassionately and professionally with clients

Proactive, reliable, and efficient

Highly Desirable:

Experience in providing reception services in medical or allied health settings

Experience using allied health practice management systems (Halaxy)

What we can offer you:

A flexible part time position

3 days per week (Tuesday, Wednesday & Friday) approximately 9.00am - 4.00pm

Additional days offered to cover staff leave

Work from home, with the occasional in person meeting required at one of our clinic locations
