We seek an Front of House Administrator to support a busy office.

Our ideal candidate will be professional, thrive in being organised, have excellent attention to detail, accuracy, efficiency and communication skills. You will bring a willingness to learn, a proactive approach, and a positive, customer orientated attitude.

Front of House Administrator is offered on a:

6 month fixed term position (with possible opportunity for extension)

requirement to be onsite daily.

What you will do

The Front of House Administrator serves as the first point of contact for visitors to VCEA ensuring a welcoming and professional environment. This position is responsible for managing front desk operations, coordinating meeting spaces, and providing high-quality administrative support to assist in the smooth day-to-day operations.

The role supports senior executives, staff, Board and Committee members, and guests. It requires initiative, strong attention to detail, and the ability to build and maintain positive and professional working relationships.

Due to the nature of this role, the Front of House Administrator is required to be onsite daily.

What you’ll bring

Front of House: Warm and approachable, with a natural ability to make guests feel welcome. Skilled at creating a positive first impression reflecting VCEA's values, while confidently managing guest arrivals with security and ensuring a smooth check-in process. Experienced in coordinating meeting room bookings and schedules, and ensuring spaces are clean, set up, and presentation-ready — from catering and seating arrangements to Wi-Fi access — so every meeting runs seamlessly.

Administrative: Proficient in handling mail and deliveries, overseeing inventory of stationery, kitchen, and catering supplies, and maintaining accurate records. Experienced in processing invoices, expense claims, data entry, filing, and document preparation in line with procurement and record-keeping protocols.

ICT Skills: Proficient in Microsoft Office suite (Outlook, Word, Excel) with the ability to adapt quickly to new systems and tools. Competent in managing meeting room schedules via Microsoft Outlook and coordinating technology needs for events and visitors.

Communication: Well-developed verbal and written communication skills, able to prepare clear correspondence, documents, and reports. Confident in engaging with a diverse range of stakeholders in a professional manner, both in person and through various channels.

Interpersonal Skills: Proven ability to build and maintain positive working relationships with internal colleagues and external stakeholders. Collaborative approach to working across teams to support efficient workflow and maintain a cohesive environment.

Organisation: Highly organised with excellent attention to detail, able to manage competing priorities and meet deadlines. Experienced in coordinating meetings, events, and training sessions, including catering and logistics.

Initiative and Problem-Solving: Demonstrated ability to resolve routine issues independently, exercise sound judgment, and remain calm and effective in unexpected situations. Flexible and adaptable when responding to changing priorities and peak activity periods.

Qualifications and Experience

A minimum of two years’ experience in administration, reception or Front of House role.

Ability to work in time-pressured situations, contributing positively to a team environment whilst seamlessly shifting to independent work.

Must hold and maintain a valid Victorian driver's license.
