Operations Coordinator
Full-time | Camperdown
We are seeking an organised, people-focused Operations Coordinator to join our team. In this role, you will be the go-to person for responding to staffing requests, rostering support staff, and ensuring we meet the needs of our clients, participants, referring organisations, and employees — all in a timely, efficient, and professional manner.
This is a fast-paced position where no two days are the same, and your ability to stay calm under pressure while delivering excellent service will be highly valued.
Key Responsibilities
Answer incoming calls and assist clients, carers, and stakeholders with enquiries.
Schedule and roster support staff, ensuring all client services are covered promptly.
Enter service details accurately into our software system.
Develop rosters to maximise resources and ensure operational efficiency.
Fill last-minute shift shortfalls using available workforce.
Provide advice and support to internal teams and supervisors.
Maintain compliance with all relevant legislation, standards, and regulations.
Liaise with brokers, referral sources, staff, carers, clients, and families.
Manage a high volume of inbound and outbound calls.
Complete rostering tasks within designated timeframes.
Ensure all client contact is professional, empathetic, and builds trust.
Process and submit invoices accurately and on time.
About You
Proven experience in high-volume staff rostering or scheduling.
Understanding of rostering processes, industrial relations, awards, and agreements (desirable).
Relevant tertiary qualification in office management (desirable).
Exceptional verbal and written communication skills.
Strong planning, organisational, and data entry skills with great attention to detail.
Competence in Microsoft Office applications.
Ability to work as part of a collaborative team.
Resilient, professional, and solutions-focused under pressure.
Willingness to engage in ongoing training and professional development.
