Your Purpose
As a Medical Receptionist / Administrator at Down South Therapy, you play a vital role in ensuring the smooth operation of day-to-day administrative processes that support service delivery, access, and integration. Your role contributes directly to the positive experience of clients, their families, and the wider team.
You are often the first point of contact for those seeking support from Down South Therapy, and your ability to provide a warm, welcoming, and efficient service is key to making our services accessible and inclusive for all.
Key Responsibilities
Reception and Front Desk Duties - Promptly and courteously attend to incoming calls, clients, and guests. Handle all enquiries with efficiency, confidentiality, and sensitivity.
Client Onboarding - Provide accurate information to clients and families. Manage the onboarding process, including registration and data entry of new client profiles.
Administrative Support - Deliver consistent and effective daily administrative support to the team. Assist Discipline Team Leaders with administrative tasks and workflow processes.
Invoicing and Financial Admin - Process daily client invoicing and receipting with accuracy and attention to detail.
Record Keeping - Maintain accurate and up-to-date records across all relevant systems and ensure data integrity through regular updates and reviews.
Team Collaboration - Foster positive working relationships and open information exchange within and across teams.
Staff Onboarding Support - Support the Clinical Services Manager with comprehensive orientation and induction for new staff members.
Supplies and Stock Management - Ensure adequate levels of practice consumables such as stationery and cleaning supplies are maintained.
Data and Reporting - Collect relevant data to support reporting and service delivery evaluation using internal data management systems.
Continuous Learning and Development - Participate in relevant training, development activities, and team initiatives to grow your skills and support team effectiveness.
Other Duties - Perform additional duties consistent with the position as requested by the Clinical Services Manager or HR Manager.
You Will Need to Have
Experience - Demonstrated experience in administrative roles within medical, health, or allied health environments.
Technical Skills - Strong IT and information management skills, including proficiency with:
Microsoft Office Suite
MYOB or similar accounting software
Medical Practice Management Software (e.g. Splpose, Power Diary, Halaxy, or similar)
Organisation and Time Management - Proven ability to manage high volumes of work, prioritise tasks effectively, and meet deadlines in a fast-paced environment.
Interpersonal and Communication Skills - Excellent interpersonal skills with the ability to engage positively and professionally with clients, families, and staff.
Administrative Support - Ability to provide high-level administrative assistance to management and clinical leadership.
NDIS Knowledge - An understanding of the National Disability Insurance Scheme (NDIS) and how it relates to service delivery and administration.
