Office & Facilities Administrator - National Energy & Utilities Provider
- Location: East Melbourne
- Pay Rate: $35 per hour + Super
- Assignment Duration: Anticipated until 1st March 2026 with potential to extend
- Hours: Monday - Friday, 30 hours per week
An exciting opportunity is available for an experienced and proactive Office & Facilities Administrator to join a supportive and professional team based in East Melbourne. This is a key support role within the Melbourne office of a large national energy and utilities provider, where you’ll ensure the smooth day-to-day operation of the office and provide hands-on facilities support.
Reporting to the Building Manager (based interstate), you’ll enjoy autonomy, flexibility, and the opportunity to make a real impact on the day-to-day functioning of a busy workplace.
Key Responsibilities
Office Administration
- Be the friendly first point of contact for all visitors and calls
- Manage incoming/outgoing mail, couriers, and PO Box collection
- Maintain office supplies and ensure stock levels meet company guidelines
- Provide general administrative support including preparing reports, maintaining records, and assisting with meeting room bookings
- Coordinate daily administrative tasks and ad-hoc team support
- Raise shopping carts and post invoices in SAP (training provided)
Facilities Coordination
- Ensure the office space is tidy, functional, and well-presented
- Coordinate repairs and maintenance with vendors/contractors
- Manage equipment servicing and general upkeep
- Facilitate onboarding and inductions for new staff including pass allocation
- Assist with travel and accommodation bookings
- Coordinate servicing and maintenance of the EV vehicle, including occasional drop-offs to the mechanic

- Experience in an office or facilities coordination role
- Strong organisational and time management skills
- Friendly, professional communication style
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Ability to manage multiple tasks and priorities with confidence
- Flexible, proactive and a strong team player
- Willingness to adapt to changing needs and support others as required
