About the Role
We’re seeking a capable and proactive Team & Operations Administrator, 10-15 hours per week to support the smooth day-to-day running of our singing school and coaching studio. This is a diverse and rewarding role that suits someone who’s highly organised, tech-savvy, and comfortable managing the small moving parts that keep a business humming.
You'll be the go-to for coordinating bookings and customer communications, supporting our teaching and admin teams, managing the studio calendar and tech systems, and keeping our internal processes tidy and efficient. You’ll also provide executive support to the Director, assist with event logistics, and ensure the studio is always well-prepared and stocked.
Key Responsibilities
Customer & Booking Management: Oversee daily phone and email communications, manage class bookings and adjustments, follow up on payments, and maintain a professional and friendly experience for clients.
Team Coordination: Support the teaching team with scheduling, onboarding, attendance tracking, and weekly team meetings. Maintain clear communication and keep systems up to date.
Executive Support: Provide light EA support to the Director, including inbox management, calendar coordination, and occasional project assistance.
Systems & Processes: Maintain and improve the use of software systems (e.g. booking platforms, task managers, reports). Identify opportunities to streamline workflows and implement better ways of working.
Calendar & Studio Management: Maintain the studio calendar, prep the studio for daily use, manage inventory and office supplies, and support smooth on-site operations.
Financial & Reporting Support: Assist with light financial admin such as creating simple business reports, tracking payments, and supporting the Director with data-related tasks.
Event Admin Support: Assist with preparation and coordination of business events, team workshops, or launches—organising logistics, updating attendee lists, and helping out as needed.
About You
You’ve got experience supporting a busy office, studio, or small business, with confidence juggling multiple priorities.
You’re tech-savvy and organised, with a keen eye for detail and a love of tidying up systems and processes.
You’re confident in communicating with customers and staff, and you bring a calm, solutions-focused energy to your work.
You enjoy helping others succeed by keeping things organised behind the scenes.
You’re comfortable working both independently and as part of a close-knit team.
Skills & Experience
Proven experience in admin, team support, or operations (bonus if in a creative, education, or service-based setting)
Strong communication and interpersonal skills
Confidence with booking and payment platforms, Google Workspace, CRMs, task management systems and other business software
Excellent time management, attention to detail, and follow-through
Ability to maintain confidentiality and represent the business professionally
Fast learner with a proactive mindset—training provided on our processes, but not on basic admin or software skills
