Are you an exceptionally organized and proactive administrative professional looking for a challenging role in the property development sector? We're seeking a Project Administrator to join our dynamic team and provide crucial support across all phases of our exciting development projects.
This role is perfect for someone who thrives in a fast-paced environment, has a keen eye for detail, and is passionate about ensuring seamless project operations. You'll be instrumental in enabling our Project Managers to focus on strategic oversight and client relationships by taking ownership of essential administrative, coordinative, and support services.
Key Responsibilities:
As our Project Administrator, you'll be involved in a diverse range of tasks, including:
Comprehensive Administrative Support: Managing calendars and scheduling meetings (internal, external, and with various stakeholders like architects, contractors, clients, and councils), coordinating travel arrangements, meticulous data entry, transcription services, and maintaining organized file management systems. You'll also assist with Request for Quotes (RFQs) and utility account administration.
Land Acquisition Assistance: Supporting the acquisition phase by collecting property information (zoning, sales history), drafting offers and special conditions, coordinating meetings with real estate agents and vendors, and assisting with market research.
Documentation & Compliance: Managing document versions, tracking approvals, ensuring correct distribution, and overseeing the collection and tracking of insurance certificates from contractors and suppliers. You'll also assist with consultant engagements.
Financial & Accounting Support (Non-Core): Processing invoices for approval, matching them with purchase orders, and managing payment reminders and schedules.
Marketing & Sales Administration: Gathering market research data, assisting with basic social media scheduling, coordinating buyer-requested changes, maintaining sales and buyer records, and drafting purchaser updates.
Project Coordination & Communication: Inputting progress updates into project schedules, disseminating pre-approved client communications, transcribing meeting minutes, maintaining contact lists, and assisting with permit and application support.
Subdivision / Settlement Support: Chasing up Statements of Compliance, setting up and tracking utility accounts for development sites, organizing settlement gifts, and ensuring all keys are functional.
What You'll Bring:
Proven experience in a similar administrative or project support role, ideally within the property, construction, or real estate industries.
Exceptional organizational skills and a meticulous attention to detail.
Fluent in both English & Mandarin Chinese (written and spoken) is highly desirable, as you will be liaising with various stakeholders.
Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with project management software/databases.
Excellent written and verbal communication skills, with the ability to draft clear and concise correspondence.
A proactive and resourceful approach, with the ability to anticipate needs and prioritize tasks effectively.
Ability to work independently and as part of a team, liaising confidently with various stakeholders.
Experience with transcription services is a plus.
