As our business continues to grow, we’re looking for a confident and capable Office Manager to keep everything running smoothly behind the scenes and help support the delivery of exceptional client experiences.
📝 The Role
As Office Manager, you’ll be responsible for smooth day-to-day operations—ensuring business functions are organised, efficient, and client-focused.
You’ll work closely with the Managing Director, as well as directly with our clients, to support the full lifecycle of each pool project.
Key responsibilities include:
Overseeing all administrative and clerical tasks
Managing client communications and supporting front desk operations
Preparing and maintaining client contracts
Working with local councils and land titles offices to apply for and manage permits
Providing executive assistance to the Managing Director
Scheduling jobs and coordinating workflow between departments
Bookkeeping, invoicing, and managing accounts payable/receivable
Supporting compliance and reporting requirements
Handling supplier communications and inventory orders
💼 What We’re Looking For
Proven experience in office management, administration, or executive support
Excellent written and verbal communication skills
Familiarity with council processes and permit applications (preferred)
Strong attention to detail and top-notch organisation
Ability to work proactively, multitask, and manage competing priorities
Tech-savvy with the ability to pick up new systems quickly as well as in-depth knowledge with Xero and Microsoft Office
A collaborative team player with a calm, professional demeanour
