Position: Operations Specialist
Term: 12-month, flexible part-time or full time (0.8-1.0 FTE)
Experience: 2-5+ years of experience in biotech, diagnostics, or medtech operations is highly desirable.
Salary (full time): $80,000 - $95,000 (pro-rated to FTE) + 12% superannuation + benefits (see below)
Location: Flexible (Remote and on-site in Clayton/Notting Hill).

Who We Are Looking For
Diag-Nose.io is seeking an operations specialist to support the backbone of our business and research operations. We are looking for someone with broad capabilities who thrives on variety and thrives in a dynamic, early-stage environment. You’ll be responsible for building and maintaining operational systems that power everything from our labs to our partnerships.
The ideal candidate is a true jack-of-all-trades who is comfortable working across finance, procurement, logistics, HR, communications, and more. You’ll have a knack for building order from chaos, a willingness to jump into whatever the business needs, and a strong sense of ownership over your work.
More importantly, you’re always asking: “How can we automate this?”
About You
Operationally fluent: You’ve worked in fast-paced environments and understand what it takes to keep the engine running; from invoice processing to office setup to shipping biological samples. You prefer systems over Band-Aids, and automation over repetition.
Builder of systems: You know how to build scalable processes and don’t shy away from templates, trackers, and standard operating procedures. You’re always looking for low-maintenance, high-leverage ways to make things flow with fewer manual steps.
Detail-oriented and dependable: You take pride in being someone the team can count on. You proactively flag issues, solve problems, and keep things moving.
Communications-aware: You have excellent written and verbal communication skills, and you’re comfortable helping with light-touch PR, email, or social messaging if needed.
Flexible and unflappable: You're resourceful and ready to roll with changing priorities in a startup environment.
What You Will Be Spending Your Time On:
Operations & Infrastructure Management
· Manage procurement, lab consumables, freight, and courier logistic
· Oversee facilities, waste disposal, and OH&S requirements
· Coordinate lab equipment servicing and infrastructure needs
Finance & Administration
· Process payments and manage accounting records
· Track budget vs. actuals and support audit readiness
· Maintain financial logs and documentation integrity
People & Workplace Enablement
· Lead HR operations, onboarding logistics, and workspace setup
· Maintain and update the HR Handbook and safety protocols
· Coordinate with IT for tools and access support
Systems & Continuous Improvement
· Support upkeep of the Operations Handbook and SOPs
· Design workflows that reduce manual work, duplication, and dependencies
· Proactively automate routine tasks wherever possible using simple tools (e.g. Zapier, Airtable, Google Workspace, etc.)
Marketing, Partnerships & Communications
· Support partnership communications and CRM workflows
· Assist with event planning, content development, and campaign logistics
· Contribute to PR and communications activities, including press releases and brand storytelling

High independence: If you prefer a role with constant supervision and guidance, this position might not be for you. We expect a high level of autonomy and the ability to manage multiple priorities independently.
Fast-paced and dynamic environment: Working at an early-stage startup means priorities can shift quickly. If you prefer a predictable environment, this role may not be ideal.
Generalist role: This is a broad position with touchpoints across every part of the business. If you prefer deep specialization in one area, this may not be the right fit.
