About the Role
We are looking for a proactive and detail-oriented Operations Coordinator to support both project management and HR/Office administrative tasks. This hybrid role is ideal for someone who enjoys juggling multiple responsibilities, thrives in a collaborative environment, and is looking for a flexible part-time opportunity with the Possibility of ongoing opportunities post-contract.
Key Responsibilities
Project Coordination
Support the planning, tracking, and execution of projects to ensure they are completed on time and within budget.
Coordinate internal teams and external partners or clients to ensure smooth project workflows.
Maintain project documentation, reports, and meeting notes.
Organize internal and external meetings, track deliverables, and follow up on action items.
Assist in preparing project presentations and status updates for stakeholders.
Human Resources Support
Assist with the recruitment process including posting job ads, scheduling interviews, and coordinating candidate communication.
Maintain employee records and ensure all HR documentation is up-to-date and compliant.
Support onboarding and offboarding processes for employees and contractors.
Help organize employee engagement activities and internal communications.
Assist in tracking time-off requests, timesheets, and employee attendance.
Office Admin Support
Ensure the smooth daily operation of the office environment by providing ad hoc administrative assistance to the team
Coordinate domestic and international travel arrangements for staff, including flights and accommodation
Manage building access for employees and visitors. Work with IT & Security to maintain up-to-date access records and ensure office safety protocols are followed
Oversee the scheduling and quality of office cleaning services, ensuring a tidy, well-maintained, and professional workspace at all times
Monitor and maintain stock levels of office consumables such as kitchen supplies, stationery, and printer needs
Requirements
2-3 years of experience in project coordination, HR administration, or related roles.
Strong organizational and time management skills.
Excellent communication and interpersonal abilities.
Comfortable using tools like Microsoft Office, Google Workspace, and project/HR platforms.
Ability to handle sensitive information with discretion.
Familiarity with basic HR processes and laws.
