About the role
Reporting to the Administration Coordinator you will provide administrative and operational support to the Majarlin office in the areas of teaching, learning and research. You will work closely with the Centre’s administration team and serve as a key liaison between internal teams and external stakeholders, ensuring smooth communication and efficient workflow.
Key Responsibilities
Providing high level, effective administration services to support the strategic and operational direction of the Centre.
Coordinating meetings, including preparation of associated documentation and various correspondence, presentations and reports.
Providing financial support by maintaining financial records systems, processing payments, purchase orders and invoicing ensuring that budget expenditure is monitored and reported.
Providing excellent customer service to students and University stakeholders by providing quality responses to a wide range of queries, whilst liaising closely with other areas of the organisation.
Completing tasks and communications in an accurate and timely manner, whilst liaising closely with other areas of the organisation.
Supervising administrative staff and manage workflow of a team, including providing on the job training and advice to new staff on common University systems.
Working accurately with detailed information; including data entry, maintaining spreadsheets, managing correspondence, collating data for report and under direction prepare a range of written communication.
Perform other responsibilities, commensurate with the expectations of a role at this level, which contribute to the overall objectives of the department.
Qualifications, skills & experience
Relevant degree in Business Administration, Management or related field or, an advanced diploma qualification and subsequent relevant work experience (minimum 1 year), or a diploma qualification and at least 2 years subsequent relevant work experience, or completion of a Certificate IV and extensive relevant work experience, or completion of a post-trades certificate and extensive (typically more than 2 years) relevant experience as a technician, or an equivalent combination of relevant experience and/or education/training .
Experience within a university or tertiary environment – highly desirable.
Demonstrated proficiency in Microsoft Office suite and ability learn computer software programs.
Highly developed communication skills, both written and verbal with the ability to build relationships, engage and foster collaboration.
Ability to provide discretion and take responsibility for outcomes, including effective application of policies and procedures.
Effective time management skills with an ability to manage workload effectively.
Ability to collaborate across multifunctional teams, providing a high level and responsive service.
