About the role
A Logistics and warehouse coordinator typically involves managing the flow of goods inward and goods outward within a warehouse, ensuring timely and accurate shipments, and acting as a liaison between office and warehouse staff, drivers, clients and vendors.
Deliver goods to clients by verifying orders; packing lists; bundling bulk orders, arranging quotations, arranging documentation, arranging transportation, booking shipments, booking dock access, labelling packages, tracking shipments and resolving issues related to dispatch department.
Scheduling, Dispatching & Receiving:
Schedule and coordinate the transportation and delivery of goods.
Track shipments and provide updates to customers/clients and internal teams.
Manage and optimise delivery routes and schedules.
Communicate with drivers and transport companies to ensure timely and efficient delivery.
Organising and timing dispatch of jobs by forecasting delivery timeframes from the production schedule with consideration of due dates and installs, prices, locations and weight.
Receiving deliveries and informing internal team members when needed.
Communication and Customer Service:
Provide information to Account Managers on custom tariffs, tariff classifications and concessions, and methods of clearing goods.
Communicate with drivers and installation team to ensure timely delivery of fragile items and challenging freight sizes.
Update Production and Project/Account Managers with information by forwarding notices of shipment dates and methods, and status’ and answering questions when required.
Warehouse Operations:
Manage the receipt, storage, and dispatch of goods within the warehouse.
Manage client inventory levels and ensure accuracy of stock records using inventory management software.
Maintain a safe and organised warehouse environment, adhering to safety protocols.
Logistics and Supply Chain:
Evaluate freight services and negotiate contracts with carriers.
Manage relationships with suppliers and transportation providers.
Manage and Liaise with Production Support to identify areas for improvement in warehouse operations and logistics.
Vehicle and Forklift Maintenance and Repairs:
Manage vehicle maintenance and repair programs, ensuring adherence to safety standards and regulatory requirements.
Manage relationships with vehicle mechanics.
Monitor vehicle performance and identify potential issues before they escalate.
Ensure trucks are equipped with appropriate onsite tools for tradesmen and labourers.
Ensure trucks are well-kept after every use, i.e. Removal of waste/disposable items and fuelling tank.
Manage vehicle registrations and due dates and weekly preventative maintenance plans.
Driver Management:
Liaise with Production Support/Management for driver schedules and routes.
Ensure vehicle logs are used to record vehicle usage and logs are kept up to date.
Compliance and Safety:
Stay informed about industry best practices and changes in regulations to ensure compliance with all relevant regulations and industry standards.
Implement and maintain safety programs for company vehicles.
Ensure compliance with all relevant regulations and company policies.
Investigate vehicle accidents and incidents, taking appropriate corrective action and liaise with WHS officer where needed.
Other Duties:
Monthly Interstate truck drive with overnight stays.
Liaise with other departments, such as account managers and accounts payable.
Perform other duties assigned by Production Manager.

Qualifications
Forklift Licence
Current drivers licence
Manual Transmission Licence
HR Vehicle licence a bonus
Sound knowledge of MS office skills, administrative procedures, office systems and equipment.
Experience
Dispatch software and GPS tracking systems.
Warehouse management, logistics, and transportation.
Knowledge
Knowledge of warehouse operations, inventory management systems, and transportation logistics, including principles and methods of handling, measuring, packing, bundling and labelling techniques.
Skills & competencies
Excellent verbal, written and numerical skills.
Organisational and time management skills.
Ability to coordinate the dispatch and logistics of multiple projects and remain flexible through the production schedule.
Keen attention to detail.
Problem-solving abilities and spacial awareness abilities.
