Our admin team are an integral part of our service delivery and overall client experience.

The Position
This position is client-facing and is a central role in our team. It is the key link in the network of relationships between the community, the clients, key stakeholders, and our team of clinicians. The position would suit someone who is enthusiastic about helping others and wanting to make a positive difference to someone's day, no matter how small.
The role is initially casual with a view to permanency for the right person. There is room for development for those with a strong desire to learn and grow within the administrative team.
Key Responsibilities
Reception Duties
Warmly greet and assist clients, ensuring a positive experience from their first point of contact.
Manage phone calls and emails, answering inquiries or directing them to the appropriate staff.
Schedule client appointments and manage the practice’s booking system efficiently.
Handle sensitive client information with the utmost confidentiality and professionalism.
Maintain and update client records and databases, ensuring accuracy and compliance with privacy regulations.
Assist with invoicing, processing payments, and liaising with insurance companies and other third parties as needed.
Prepare and organise client forms, letters, and reports for psychologists.
Qualifications & Skills
Previous experience in a reception role, preferably within a healthcare or mental health setting.
Strong interpersonal skills with a warm, approachable demeanor.
Exceptional communication skills, both written and verbal.
High level of organisation and the ability to manage multiple tasks efficiently.
Proficiency in office software (e.g., Microsoft Office or similar, Google sheets and forms, Canva) and practice management software (experience with Cliniko is a plus).
Ability to handle sensitive and confidential information with professionalism and discretion.
A strong work ethic and a proactive attitude, with the ability to work independently and as part of a team.
Highly reliable and willing to provide assistance.
Good problem-solving skills
High level of attention to detail
Accurate data entry skills
