Immediate Start - Medical Receptionist
Position Overview
We are seeking a dedicated and compassionate Medical Receptionist to join our specialist gynaecology surgical practice on a permanent part-time basis, working two days per week. As the first point of contact for our patients and visitors, you will play a vital role in creating a welcoming and professional environment. The ideal candidate will possess exceptional interpersonal skills, a keen attention to detail, and a positive attitude, ensuring the highest standard of care and service for patients attending our practice.
Key Responsibilities
· Answering Telephone Calls – Manage incoming and outgoing phone calls in a polite, professional, and efficient manner. Triage calls as necessary, provide information to patients and referring practitioners, and route calls appropriately to clinical or administrative staff.
· Booking and Managing Patient Appointments – Coordinate and schedule patient appointments using our practice management software system (Xestro). Confirm appointments, manage cancellations or rescheduling, and maintain accurate appointment records.
· Patient Reception and Support – Meet and greet all patients and visitors on arrival, ensuring a warm and courteous welcome. Assist patients with check-in procedures, verify their details, and provide any necessary forms or information regarding their visit.
· Payment Processing – Manage patient payments for consultations, procedures, and surgeries. Process EFTPOS, credit card, and cash transactions, issue receipts, and maintain accurate financial records while ensuring compliance with privacy and confidentiality requirements.
· Liaison with Operating Theatres – Communicate regularly with operating theatres and hospital staff regarding surgical bookings, theatre lists, and patient preparations. Ensure all necessary pre-operative documentation is completed in a timely manner.
· General Medical Administration – Perform a range of administrative duties including but not limited to responding to emails, managing incoming and outgoing correspondence, filing, scanning, data entry, maintaining patient records, and inventory of office supplies.
· Provide administrative support to medical practitioners as required.
· Confidentiality and Compliance – Adhere strictly to privacy and confidentiality regulations, ensuring that all patient and practice information is managed in line with relevant legal and ethical requirements.
Key Selection Criteria
· Experience – Previous experience in a medical reception or administration role is highly desirable. Experience in a surgical or gynaecology practice will be highly regarded.
· Communication Skills – Excellent verbal and written communication skills. Comfortable engaging with patients of all backgrounds and ages, including those who may be anxious or distressed.
· Interpersonal Skills – Demonstrated ability to develop positive relationships with patients, clinicians, and other staff members. Polite, respectful, and empathetic approach at all times.
· Organisation and Multitasking – Strong organisational skills with ability to prioritise tasks in a busy clinical environment. Capable of managing multiple responsibilities with attention to detail.
· Technical Skills – Competence in the use of computers, practice management systems, and electronic payment processing. We utilize Xestro as our practice management software and experience with Xestro would be well regarded but is not essential. Ability to learn new software and systems quickly.
· Professionalism – Demonstrates a high level of personal integrity, reliability, and professionalism in all aspects of work. Maintains a calm and positive demeanour under pressure.
· Teamwork – Willing and able to work collaboratively as part of a small team and fostering a harmonious working environment.
Hours of Work and Remuneration
This is a permanent part-time position, working two days per week (specific days to be negotiated), approximately 16 hours per week. The successful candidate may be required to provide occasional additional coverage during periods of staff leave or peak demand, by mutual agreement.
Remuneration will be commensurate with experience and qualifications, in line with relevant awards and industry standards (Health Services Award [MA000027]).
