Our venues include The Lobo, Big Poppas, and Kittyhawk, New York – with Kittyhawk hosting the majority of our events.
Kittyhawk, New York is an ode to what makes New York one of the most energetic and vibrant cities in the world. Spread across two levels with a 350-pax capacity, our private upstairs function space, The Officer’s Mess, is a hub for weddings, social events, and large-scale corporate mixers.
The Role:
This is a very exciting time for our company, and we’re looking for an enthusiastic and hands on Event Sales / Wedding Coordinator to join our team!
This role is ideal for someone who thrives in a fast-paced environment, loves connecting with people, and takes genuine pride in delivering unforgettable event experiences.
You’ll be supporting the Sr. Sales Event Manager across a range of private and social events, with a strong focus on weddings. You’ll be instrumental in guiding clients through the planning process, upselling thoughtfully, and executing with precision and care.
This is a full-time role over 5 working days. The work is primarily Mon-Fri, but weekend hours will be required for larger events such as weddings.

Skills and Attributes:
Previous experience in events or hospitality, with a strong preference for wedding coordination
Confident communicator with experience in client-facing roles
Commercial mindset that understands the balance between client needs and driving business goals
Self-starter who takes initiative and brings positive energy
Genuine love for processes, checklists, and all the small nuances that make an event exceptional
Proven ability to upsell and guide decision-making processes that consider business targets
Comfortable managing multiple deadlines and competing priorities without sacrificing the detail
Problem solver that can juggle logistics, timelines, adapt quickly, and think on their feet
Strong internal collaboration skills because there’s no I in TEAM
Familiarity with iVvy, Xero, or similar platforms (preferred but not essential)
Availability to work evenings or weekends for key events as required
Key Responsibilities:
Manage the full sales lifecycle from initial enquiry and venue tours to proposals, bookings, event execution, and post-event reporting.
Prepare tailored packages for potential clients, confidently guiding them through add-on options and identifying areas to upsell
Bring fresh thinking and creativity to team brainstorms, client proposals, event concepts, and planning documents.
Coordinate all aspects of weddings and social events, ensuring no details are missed, timelines are met and expectations are exceeded
Create and maintain all event documentation, including contracts, BEOs, run sheets, signage, menus, floor plans, and timelines.
Track key milestones such as quotes, payments, deadlines, and deliverables across platforms like iVvy and Xero, working with the bookkeeper to reconcile payments and process refunds.
Liaise with internal teams (kitchen, bar, and floor staff) to ensure smooth communication and seamless event delivery.
Manage the event inbox and provide daily support, including responding to enquiries and preparing quotes in collaboration with the Sr. Sales Event Manager.
Book service providers such as cleaners, linen and security for upstairs events when required.
Update Kittyhawk's event collateral and listing profiles, when necessary
Uphold professional, timely communication across all client touchpoints in line with KHNY values and service standards.
Attend weddings and key events as needed, acting as an onsite coordinator and assisting with F&B service to ensure client satisfaction and smooth execution.
Assist with event setup for weddings such as setting furniture, place cards, wishing wells, seating charts and minor decor.
Liaise and foster relationships with external vendors
