The Role:

An exciting opportunity is available for an Admin & Accounts Assistant to join our rapidly growing team based in Geelong. This full-time position spans four thriving businesses — WMA Scaffolding, Perimeter Scaffolding, BRUHN Limestone and Wilmoore Allstone — giving you exposure to multiple operations and the chance to grow with a dynamic company.

We’re looking for someone who thrives in a fast-paced environment, enjoys wearing many hats, and can confidently multitask across a broad range of responsibilities. If you’re organised, adaptable and motivated, this is your chance to make the role your own.

Responsibilities include, but are not limited to:

Organising the office and maintaining smooth operations including:

Managing multiple shared inboxes by triaging emails, flagging those requiring action, and filing completed emails into appropriate folders

Entering bills into Xero for multiple companies and ensuring accurate record-keeping (AP only)

Coordinating meetings, travel, and appointments for the Director, managing his Outlook calendars and keep his schedule accurate and up to date

Scanning and filing receipts, and supporting accounts payable processes as required

Answering and directing incoming calls as the first point of contact

Assisting with onboarding new employees, managing apprentice enrolments, and supporting visa and sponsorship paperwork for prospective employees

Managing inventory: ordering office and kitchen supplies, uniforms, and maintaining spreadsheets to track stock levels

Assisting social media managers with blog/website queries and approvals

To be successful in this role, you will possess:

Proven experience in administration, with exposure to accounts payable in Xero

Advanced Microsoft Office skills (especially Outlook, Word, Excel)

Strong verbal and written communication

High attention to detail and ability to stay across multiple tasks

A proactive and flexible attitude with the ability to work independently

Reliable and punctual, respecting commitments and deadlines

A warm, bubbly and professional manner that makes others feel welcome
