About the Role

We’re seeking a proactive Business Systems & Admin Coordinator to support our Business Operations Manager (BOM) and wider business units. This permanent, hands-on role combines systems coordination, HR coordination, compliance tracking, and day-to-day admin support to help improve business performance and team efficiency.

From rolling out a new HR platform to managing tender documentation, traineeship programs, CRM support, assisting with month-end invoicing and monthly coordination, and inventory control for stationery, PPE, uniforms, and general office requirements – this is a dynamic opportunity for someone who thrives on variety and responsibility.

Key Responsibilities

In this role, you'll support a wide range of business functions, including:

Rolling out and maintaining a new HR platform with the team, including onboarding support and user guidance. Monitor deadlines for renewals and WHS compliance.

Assisting with the hiring process, including job ad preparation, scheduling interviews, and documentation.

Providing administrative support to the BOM (including business systems improvement and reporting), as well as the Construction Manager and Estimating team (including tender documentation).

Assisting with month-end invoicing and claims.

Uploading and managing HR documents (certificates, licences, insurances).

Coordinating Life Skills and Traineeship programs and liaising with RTOs for training bookings.

Maintaining document control and cloud-based file management.

Managing inventory control for stationery, PPE, uniforms, and general office requirements.

Supporting the admin, sales and estimating teams with overflow tasks.

Helping the company organise half-yearly and annual staff parties and celebrations.

Training will be provided for relevant platforms if required.

Key Performance Indicators (KPIs)

100% onboarding completion within set timeframes

Weekly reporting across business systems.

HR Platform is current (Employment contracts & licenses)

Admin and CRM support requests resolved with the timeframe provided.

Compliance uploads completed within the timeframe provided.

Tender documentation support delivered on time.

Inventory for stationery, PPE, uniforms, and office supplies managed and replenished proactively

Smooth coordination and support of the hiring process

Assist with the successful delivery of internal staff events

Positive team feedback via internal surveys

Who You Are

Essential

Strong organizational skills and attention to detail

Demonstrated experience in HR coordination, document control, and administration.

Comfortable using cloud-based platforms and learning new digital tools.

Able to manage competing priorities and meet deadlines in a fast phased environment.

Clear communicator with a service-first mindset.

Continuous improvement mindset and digital workflow capability.

Beneficial

Previous experience in construction, operations, or HR administration.

Knowledge of platforms such as Dashpivot, Deputy, Pipedrive, SharePoint, Microsoft OneDrive and any HR management platform.

Understanding of digital workflow tools and automation.
