Information & Workflow Coordinator

Location: Thomastown, VIC | Full-Time | Salary: $80,000–$95,000 + Super (based on experience)

We are not looking for just an administrator. We are looking for someone who understands the inner workings of a joinery business, someone who can spot missing specs, question unclear selections, and track every job from estimate to install.

At Projoin, we need someone who thrives on information control, system clarity, and proactive coordination across estimating, drafting, production, and site teams. If you don’t know how a kitchen gets built or what a spec pack should include, this isn’t the role for you.

What You’ll Be Responsible For

Managing workflow visibility and job tracking across all departments using Jobman

Reviewing drawings, selections, quotes, and schedules to ensure accuracy and readiness

Maintaining spec registers, sample approvals, and document versions for every job

Flagging gaps, risks, or unclear information, before it causes delays

Creating and assigning tasks to keep jobs on track and teams informed

You Must Have

A solid understanding of joinery production, documentation, and job flow

Confidence reading technical drawings, cut lists, estimates, and spec sheets

Experience coordinating across departments, especially in a custom or architectural joinery setting

High-level attention to detail, accuracy, and follow-through

Experience using Jobman, Cabinet Vision, or a similar ERP system

This Role Is For You If You:

Know what a full joinery spec set looks like and can tell when something’s missing

Can calmly but clearly follow up with team members or suppliers

Enjoy bringing order to messy data, incomplete files, or vague requests

Are confident using Excel, Jobman, and other workflow tools to keep jobs moving

This Role Is Not For You If You:

Don’t understand the basics of joinery, production, or how jobs are built and scheduled

Prefer to wait for instructions instead of spotting and solving issues yourself

Think “good enough” is fine when reviewing specs or documentation

Avoid chasing others for updates, approvals, or missing selections
