Bookkeeper & Administration Assistant
Salary: $75,000 – $85,000 + Super
Hours: Monday to Friday, 8:30 AM – 4:30 PM
Location: Bayswater
We’re seeking a proactive and detail-oriented Bookkeeper & Administration Assistant to join our team and keep both our books and our office running like clockwork. This is a great opportunity for someone who loves to balance numbers, keep operations organised, and contribute to a welcoming, efficient workplace. Also there is a small role in working with marketing in photography & editing of photo’s.
About the Role
This is a varied and hands-on position where you’ll oversee both daily office administration and accounts payable. Reporting to the management team, you’ll play a key role in ensuring smooth operations, accurate financial records, and a positive environment for staff and visitors alike.
Your responsibilities will include:
Overseeing daily office operations to ensure everything runs smoothly
Maintaining a tidy, welcoming, and organised workspace
Managing office supplies, equipment, and vendor relationships
Developing and implementing effective office procedures
Assisting with onboarding and training of new employees
Handling correspondence, phone calls, and emails professionally
Supervising and supporting administrative staff
On the bookkeeping side, you’ll also:
Process, verify, and enter invoices accurately
Prepare and process supplier payments in a timely manner
Reconcile statements, accounts payable balances, and bank statements
Maintain accurate records of all transactions and related documentation
Monitor company expenses and ensure proper coding and allocation
Assist with month-end and year-end closing activities
Ensure compliance with company policies and relevant regulations
The marketing side is small, involves working with the Marketing manager in taking quality photos and editing as required.

✔ Solid understanding of basic accounting principles and accounts payable processes
✔ Meticulous attention to detail and accuracy
✔ Strong organisational and time-management skills
✔ Excellent communication and interpersonal skills to work with staff, vendors, and clients
✔ Proficiency in Microsoft Office (Word, Excel, Outlook) and accounting software (Netsuite preferred)
✔ A problem-solving mindset, with the ability to resolve discrepancies and improve processes
✔ Flexibility to work both independently and as part of a collaborative team
