The Department of Justice and Community Safety is seeking a Records Coordinator to provide a critical role at Western Plains Correctional Centre.

About the Business Unit

Western Plains Correctional Centre is a modern, maximum-security prison focussed on rehabilitation, housing up to 1248 people in custody. Western Plains features multi-purpose infrastructure which is adaptable to the evolving needs of Corrections Victoria and the people in our care. Modern amenities include medical wards, a cultural centre, and vocational training facilities.

This role is part of the Workforce and Prison Services (WPS) team, a team dedicated to delivering essential corporate and ancillary services support to prison operational teams and prisoners. Leveraging the technical ability and professional expertise of trained subject matter experts, the team supports the smooth functioning of prison operations while prioritising prisoner rehabilitation and safety.

About the Role

The Records Coordinator applies a customer service approach and technical expertise to ensure the compliant, efficient, and client focussed delivery of prison records across the Western Plains Correctional Centre. The Records team fall a part of the broader Client Services team designed to support the centre in the several service areas including mail, prisoner property, prisoner finance, gatehouse customer service, operational logistics, prisoner records and prison internal transport.

The Records Coordinator will work in a small team, responding directly to general staff and prisoner enquiries across their service area in an efficient, effective and customer focused manner to deliver timely, accurate and reliable support to the centre.

Some of your duties will include:

  • Ensure all procedures and processes relevant to the Records team are compliant with legislative and organisational requirements including undertaking regular audits of operations and oversee accurate investigations of non-compliances managing the implementation of remedial actions.
  • Provide accurate and timely advice to the supervisor, staff, prisoners, clients and stakeholders in relation to Prisoner Records deliverables.
  • Liaise and maintain effective and professional communication channels with all prison staff, Corrections Victoria personnel, suppliers, clients and various stakeholders.

About you

To be successful in this role, you will have:

  • Exceptional computer skills with the ability to design electronic tools to gain efficiencies in processes, providing more accurate data and reducing duplication, including use of all Microsoft office applications.
  • Knowledge and experience in the use of E-Justice and PIMS would be beneficial.
